Requirements
  • A bachelor's degree in a related field and six years of relevant experience, or an equivalent combination of education and experience.
  • Effectively and completely utilize scholarship management software and support onboarding, training, and troubleshooting for campus units.
  • Counsel students, parents, and other pertinent parties regarding application and eligibility requirements for federal, state, private, and institutional aid.
  • Coordinate the intake, routing, and processing of required forms and documentation.
  • Proficient with Microsoft Word, Excel, email, and web-based computer applications.
  • Familiarity with scholarship management systems.
  • Familiarity with tools such as Canva, Adobe Creative Suite, and website management systems.
  • Demonstrated effective oral, written, and interpersonal communication skills.
  • Demonstrated analytical, critical-thinking, detail-orientation, organizational, proactive, project-management, service-excellence, speaking, teamwork, and work-ethic competencies.
Responsibilities
  • Serve as the operational and compliance lead for the Office of Scholarships.
  • Ensure scholarship processes align with institutional policies, donor intent, and applicable regulations.
  • Oversee the development, implementation, and documentation of standardized scholarship-administration procedures.
  • Monitor operational workflow, identify process gaps or compliance risks, and develop corrective strategies or procedural improvements.
  • Draft and distribute procedural guidance, compliance updates, and other critical communications to university stakeholders.
  • Maintain current knowledge of university policy, system capabilities, and national best practices to address operational challenges.
  • Create and maintain detailed records of processes, policies, and procedural guidance for accountability, audit readiness, and staff and campus-partner training.
  • Provide oversight and support for soliciting scholarship data, coordinating applications, overseeing processes, issuing award notifications, disbursing funds, supporting students, ensuring compliance, managing donor relations, and maintaining award bookkeeping within the scholarship management software.
  • Coordinate with college, school, and departmental scholarship administrators to promote effective and strategic use of scholarship funds.
  • Manage inquiries in person, by phone, and by email.
  • Generate communications and process transactions for program and business management, and maintain associated records.
  • Use query and reporting mechanisms to monitor system activity and support complete and effective scholarship awarding.
  • Monitor the awarding of aid in accordance with federal, state, private, and institutional guidelines, policies, and procedures.
  • Work with staff members, departments, and agencies to certify scholarship-recipient eligibility and support workflow from application through award.
  • Plan events including lunch-and-learns, scholarship-recipient ceremonies, in-service training, and retreats.
  • Supervise two Scholarship Coordinators.
Desired Qualifications
  • A master's degree.
  • Four years of supervisory experience.
