Responsibilities
  • Manage the Chair’s Office by overseeing daily office operations and procedures, controlling correspondence, designing filing systems, and implementing efficient systems for staff access to files and records.
  • Manage office operations and procedures, prepare payroll, review and approve supply requisitions, and assign and monitor clerical functions.
  • Define procedures for the retention, protection, retrieval, transfer, and disposal of records.
  • Plan and implement office systems, layouts, and equipment procurement.
  • Develop and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Schedule and assign employees and follow up on work results.
  • Review and analyze special reports, summarize information, identify trends, and keep management informed.
  • Recruit, select, orient, and train office employees; coach, counsel, discipline, and evaluate office staff; and plan, monitor, and appraise job results.
  • Assist with budget preparation, schedule expenditures, analyze variances, and initiate corrective actions.
  • Establish and continuously assess internal controls within the unit and ensure compliance with University policies and procedures.
  • Ensure employees are trained on internal controls and University policies and procedures.
  • Oversee day-to-day departmental office functions and ensure timely completion of administrative priorities.
  • Handle multiple projects, prioritize tasks, and track deadlines in a busy, high-traffic environment.
  • Answer and direct incoming telephone calls and emails, type and print correspondence and reports, order and organize office and kitchen supplies, maintain and schedule meetings and calendars, photocopy documents, and screen and distribute mail.
  • Write and edit emails, draft memos and letters, prepare meeting minutes, and prepare communications on behalf of the Chair and Senior Administrative Officer.
  • Schedule and book travel accommodations, including flights and lodging; coordinate ground transportation reservations; and create itineraries.
  • Collect receipts and documentation for events and expenses, process expense reports, review and reconcile expenses, and track approvals.
  • Review and analyze expense reports, purchases, and expenses; summarize information; and identify trends to support timely business processes.
  • Demonstrate professionalism when working with senior executives, staff, school leaders, and community leaders.
  • Respond promptly to situations requiring quick action and ensure appropriate follow-up and escalation.
  • Reconcile expenses related to corporate card accounts.
  • Support the faculty recruitment process.
  • Identify opportunities to improve office processes, communication flow, and administrative procedures.
