Requirements

  • Bachelor's Degree in a related field and three years of experience, or an equivalent combination of education and related experience.
Responsibilities
  • Manage staff administration and operations for the Child Study Center and Pediatrics departments within the Child Study, Pediatrics, Psychiatry IBO.
  • Manage hiring processes for staff, temporary employees, and Yale students.
  • Provide onboarding and offboarding support for staff.
  • Provide performance-management support.
  • Communicate staff-administration updates and changes across the departments.
  • Support workforce and organizational planning processes.
  • Maintain compliance with university and federal training and reporting requirements.
  • Provide coaching and leadership to faculty and managers on staff-administration matters.
  • Address operational challenges and assist the Associate Director and senior leadership team with change management and organizational review.
  • Design and coordinate procedures specialized to the supported faculty and staff.
  • Continually develop an effective administrative infrastructure for staff administration and operations.
  • Partner with the HR Business Partner and Associate Director of Staff Administration on human resources, labor relations, and university initiatives.
  • Oversee onboarding and offboarding processes in collaboration with the Space and Operations Manager.
  • Provide guidance on human-resources and administrative policies, procedures, and operational processes.
  • Provide cross-coverage for the Manager of Staff Administration and Operations for the Psychiatry department in the CPP IBO.
  • Share oversight and assignment of transactional work to the Senior Administrative Assistant.
  • Manage the daily operations of a unit, including human-resources planning, information technology, financial reporting, facility planning, research support, and compliance.
  • Administer the administrative and fiscal activities of the assigned unit and serve as liaison between the unit and other university administrative offices.
  • Assign administrative support to unit functions and monitor staff activities to ensure timely completion of assigned work.
  • Prepare and monitor budgets, financial forecasts, financial analyses, and actual-versus-budgeted performance.
  • Plan facilities use, including office space, workstations, equipment, technology needs, inventory, and office supplies.
  • Plan and facilitate training sessions when new policies or practices are adopted.
  • Ensure compliance with university and federal health and safety regulations applicable to the unit.
  • Initiate, plan, and develop administrative policies for the assigned unit.
  • Contribute to long-range administrative planning for the assigned unit.
  • Implement university and departmental policies related to the administrative function of the unit.
  • Supervise and lead staff.
