Responsibilities
  • Manage conferences and events planning operations and act as a liaison between Banquets, Sales, and customers to ensure consistent, high-level service throughout hotel events.
  • Execute events according to Events and Food and Beverage standard operating procedures and identify opportunities to upsell and suggest enhancements.
  • Work with complex or high-profile groups when the financial impact is significant.
  • Assign events to the Event Planning team.
  • Participate in catering menu development.
  • Lead Conference and Event Management meetings in the absence of the Conference and Events Manager.
  • Manage function space and group room blocks for turned opportunities to maximize customer satisfaction and revenue opportunities.
  • Manage customer budgets to maximize revenue and meet customer needs.
  • Champion standards, policies, and procedures for the Conferences and Events team.
  • Prepare event orders according to customer discussions, ensuring all details are recorded for smooth execution by the Operations team.
  • Review event orders prepared by direct reports to ensure conference and event details are clearly recorded.
  • Review staffing levels to ensure guest service and planning needs are met.
  • Communicate and execute departmental and hotel emergency procedures and ensure staff are trained in safety procedures.
  • Lead activities supporting the Conferences and Events strategy.
  • Review scheduled events with direct reports, troubleshoot potential challenges or conflicts, and communicate them with appropriate hotel departments as necessary.
  • Lead discussions to review event complexity and proactively avoid service challenges and failures.
  • Ensure the hotel is informed of groups that will impact hotel operations.
  • Set a positive example for guest relations.
  • Interact with guests to obtain feedback on product quality and service levels and respond to guest problems and complaints.
  • Set service goals for event service supervisors and associates to achieve Event Planner satisfaction goals.
  • Empower associates to provide excellent customer service and ensure they understand expectations and parameters.
  • Observe associate service behaviors, provide individual feedback, and improve service performance.
  • Review comment cards and guest satisfaction results with associates and participate in corrective action plans.
  • Emphasize guest satisfaction during departmental meetings and focus on continuous improvement.
  • Attend pre-event meetings as needed to understand group needs.
  • Manage Events Planning activities to maximize customer satisfaction and overall event success.
  • Meet with event planners during post-event meetings to obtain feedback on product quality, service levels, and overall satisfaction.
  • Ensure a departmental orientation program is in place and associates receive appropriate new-hire training.
  • Ensure associates are cross-trained to support daily operations.
  • Use available on-the-job training tools, supervise ongoing training initiatives, and conduct training when appropriate.
  • Administer associate progressive discipline procedures and ensure hotel policies and disciplinary procedures are applied and documented fairly and consistently.
  • Establish and maintain open, collaborative relationships with associates.
  • Ensure regular ongoing communication recognizes performance, communicates expectations, and creates awareness of business objectives.
  • Recognize team-member contributions and ensure associate recognition takes place.
  • Set and communicate sales goals and develop incentives within company policies to encourage goal attainment.
  • Establish and maintain an effective upselling strategy during the event phase.
  • Participate in customer site inspections and assist with the sales process when necessary.
  • Manage revenue and profitability associated with conferencing and events.
  • Identify and communicate revenue and profit opportunities and participate in developing catering menus and additional products to sell.
  • Monitor market trends through catering and event-management councils, industry publications, trade journals, and competitive intelligence.
  • Introduce products or services to meet customer expectations, generate revenue, and maintain a competitive market position.
  • Negotiate competitive prices and service agreements with vendors.
  • Develop vendor relationships and establish prices and service agreements to enhance event experiences and increase revenue opportunities.
  • Attend scheduled projection meetings to anticipate long-term planning needs.
  • Set and communicate specific sales goals and develop incentives for Events Planning within company policies.
