Assists in developing, implementing, monitoring and all scheduled and unscheduled inspections of work performed by contractors that provide janitorial, pest control, window washing, landscaping, industrial waste and related contracted services to verify service levels are adequate and in accordance with contract specifications.
Management Scope:Supervises generally one (1) non-exempt staff member.Education, Experience and Training:
Graduation from an accredited high school/GED Program. Four (4) years supervisory work related experience (per Facilities hiring/promotion matrix). Working knowledge of computer systems and Microsoft Office. Bilingual (Spanish) skills are a plus.
Special Requirements/Knowledge, Skills & Abilities:
Knowledge of standard software applications. Ability to effectively communicate, both orally and in writing and establish and maintain effective working relationships with employees, departments and the general public. Able to work independently and with minimal supervision. Must be able to work within a team environment. Must possess a valid Texas Drivers License and good driving record. Will be required to provide a copy of 10-year driving history. Must maintain a good driving record and remain in compliance with Article II, Subdivision II of Chapter 90 of the Dallas County Code.
Physical/Environmental Requirements:
Requires the ability to climb ladders and lift 25lbs., assisted. Ability to withstand prolonged sitting, standing, bending, squatting, twisting, kneeling, stretching, lifting and climbing ladders. Must be able to work in varying conditions, surroundings and weather conditions. May be subject to changes in shift schedules and work locations. Ability to travel to and traverse various sites without restriction in order to inspect contractor’s compliance.1. Provides administrative support and assists in developing, implementing, monitoring and performing scheduled and unscheduled inspections of areas serviced by janitorial and other contractors to verify that services are performed in accordance with contract specifications.
2. Maintains reports and inspection documentation. Provides reports to managers and supervisors to ensure proper corrective actions have been made.
3. Manages and coordinates all contracts for janitorial services.
4.Documents non-compliance of contractual agreements and provides written reports to the manager and vendors regarding findings.
5. Audits overall inventory/equipment usage, inspections performed by other staff. Prepares detailed inspection reports.
6.Researches and analyzes contract specifications; assists Manager in writing scopes of service, and modifying contracts, investigating bidder qualifications, and makes suggestions for improvement of service levels.
7. Works closely with Purchasing and Auditor Department on requisitions, RFQ’s, bids, vendor contractual issues and invoice payment and issues.
8. Supervises and trains contract compliance and quality assurance personnel in building inspections for janitorial and other contractual specifications. Assists in training of office non-exempt personnel (dispatch & clerical staff).
9. Manages department vehicle assignment, maintenance, gas cards and GPS tracking. Assigned as Fleet Manager over Facilities vehicle.
