Requirements
  • A high school diploma or equivalent is required.
  • Two years of related experience in property management or an apartment leasing office are required.
  • Experience with site-based affordable housing programs, specifically the U.S. Department of Housing and Urban Development and Section 8, is strongly preferred.
  • Certified Occupancy Specialist and/or Certified Professional of Occupancy certification is strongly preferred.
  • Experience with Yardi is strongly preferred.
  • Successful completion of a background check and drug screen is required.
  • A valid driver's license and clean driving record are required.
  • The candidate must have excellent interpersonal and verbal communication skills, basic math proficiency, organizational and detail skills, and the ability to work independently, multitask, prioritize, and handle calls and issues appropriately.
Responsibilities
  • Foster positive, active, and collaborative relationships with residents, communities, and associated agencies.
  • Maintain a clean reception area and professional surroundings.
  • Assist management with administrative projects, phones, faxes, filing, typing, mailings, rental payment processing, resident receipts, and Tenant Rental Assistance Certification System transmissions.
  • Answer and direct incoming calls and ensure appropriate follow-up when team members are unavailable.
  • Address resident concerns and requests in a timely manner and communicate responses regarding actions taken.
  • Greet prospective residents and visitors and explain the property's benefits.
  • Coordinate leasing by interviewing prospective residents, assessing needs and qualifications, securing welcome cards or applications, and entering information into the property data system.
  • Schedule application intakes, interviews, application processing, and application distribution.
  • Show apartments and explain layouts, lease terms, facilities, and available services.
  • Qualify prospective residents according to property program requirements and the tenant selection plan.
  • Coordinate and maintain an applicant waiting list to maximize occupancy.
  • Calculate rent according to property procedures or rent schedules when required.
  • Complete lease documents and collect reservation deposits, security deposits, and initial or prorated rent when applicable.
  • Conduct marketing outreach with neighborhood groups, local employers, community organizations, and other prospecting sources to convert leads into rentals.
  • Conduct marketing surveys, review traffic reports, and share trends with the Property Manager.
  • Assist with resident retention initiatives, including resident functions, promotions, and newsletters.
  • Assist with property-issued communications and notices.
  • Gather, prepare, and execute lease renewals and interim, annual, and other recertification documentation required by local, state, and federal agencies.
  • Secure applicant and resident signatures for administrative processes.
  • Maintain accurate records of resident transactions and certifications and process interim certifications, move-ins, and move-outs promptly.
  • Notify management of necessary legal action concerning resident non-payment or non-compliance.
  • Process work orders, certifications, deposits, and resident documentation in property management software.
  • Maintain documentation and filing procedures in accordance with standard operating procedures.
  • Inspect models, apartments, and community amenities before showing them; report maintenance or physical property needs.
  • Input work orders and service requests into the property data system and communicate them to maintenance personnel.
  • Assist in achieving property financial goals.
  • Maintain property rules and regulations in accordance with program requirements, standard operating procedures, and applicable laws.
  • Preserve the confidentiality of residents, applicants, employees, and company information.
  • Perform other duties assigned by management.
