Requirements
  • At least 1–3 years of experience in a luxury hospitality environment.
  • Excellent verbal and written communication skills with the ability to communicate effectively with people of all levels.
  • Ability to multitask and solve problems in a fast-paced environment.
  • Strong attention to detail and understanding of room styles.
  • Flexibility to work different shifts, including night shifts.
  • Knowledge of Opera property management system.
  • Fluency in written and spoken English.
Responsibilities
  • Support front-of-house leadership in maintaining consistent and excellent front-office service standards.
  • Oversee daily front-office operations and support the development and training of Guest Executives and Guest Experience Assistants.
  • Coordinate reception operations, room blocking, room allocations, and guest preferences with Housekeeping, Food and Beverage, Communications, Engineering, and other departments.
  • Coordinate daily arrivals with relevant hotel departments to ensure accurate room allocations and that special requests are prepared before guest arrival.
  • Use HotSOS, Royal Services, Opera, and Microsoft 365 to check guests in and out, run daily reports, and select and block rooms.
  • Manage room inventory to accommodate guest preferences while maximizing front-office revenue.
  • Prioritize room allocations based on arrival times, room availability, wait times, VIP status, and special-attention requirements.
  • Execute VIP limousine and group-arrival procedures.
  • Ensure financial and credit procedures are followed and follow up on credit problems with Front Office management or the Credit Manager.
  • Resolve customer complaints and guest enquiries, accommodate special requests, and provide information about hotel services, operating hours, personnel, events, and directions.
  • Respond to guest requests accurately and promptly in person and by telephone.
  • Check guests in and out efficiently and courteously, assign requested room types, charge correct rates, arrange luggage delivery, issue keys, collect keys, post late charges, and settle bills by credit card or cash.
  • Accept reservations, changes, and cancellations when Reservations staff are unavailable, and answer and direct guest calls when a Communications Operator is unavailable.
  • Conduct daily morning and evening shift briefings.
  • Assist staff with training and maintain training records as requested by Front Desk Management.
  • Maintain maximum hotel occupancy, avoid overbooking, and maintain the correct guest mix.
  • Review daily arrival lists for VIPs, celebrities, regular guests, special accommodation, services, and complimentary items.
  • Liaise with Housekeeping to ensure rooms are ready and special requests are met.
  • Maintain departmental equipment, stationery, supplies, coordination, and cost control.
  • Ensure staff adherence to health and safety regulations and fire and bomb procedures.
  • Maintain and communicate the hotel’s credit procedures to Front Office staff.
  • Maintain current and historical records securely for the required retention period.
  • Coordinate group bookings with Conference Services.
  • Coordinate arrivals, departures, billing requirements, room blocking, discrepancy resolution, and the handling of special-attention guests, return guests, and groups.
  • Review arrival reports in advance, secure and reconfirm reservations, and ensure reservation information is complete.
  • Prepare, review, and execute contingency plans for system malfunctions and emergencies, including Opera system failures.
  • Maintain the Standards Training Manual and related resource materials.
  • Keep receptionists informed of changes to hotel policies, services, personnel, and activities.
  • Review guest bills in advance and resolve discrepancies to prevent checkout delays and billing complaints.
  • Maintain working relationships, morale, and departmental standards through leadership and consistent discipline.
  • Maintain immaculate reception and lobby areas and keep back offices clean and organized.
  • Implement product and service enhancements and develop initiatives supporting a more sustainable hotel environment.
  • Provide basic troubleshooting for in-room internet, television movies, games, and web services.
  • Assist Concierge, Telephone, Housekeeping, Guest Services, and Front Office departments during absences or periods of high volume.
  • Perform other hotel-operation duties assigned by management.
  • Provide guest service that exceeds expectations.
  • Assist with coordinating employee training, development, and evaluation in the department.
Desired Qualifications
  • Previous experience handling guest complaints and meeting guest needs.
  • Knowledge of OpenTable and Silverware.
  • A second language.
