Requirements
  • Prior experience providing administrative support, with excellent organizational skills, strong attention to detail, and the ability to multitask, prioritize tasks, meet deadlines, and work effectively with conflicting and competing deadlines and time constraints.
  • Excellent customer service skills.
  • Intermediate proficiency with Microsoft Word, Excel, and Outlook, along with the ability and willingness to learn new technology and systems.
  • Ability to exercise discretion and maintain strict confidentiality when handling sensitive materials and represent the Faculty of Arts and Sciences Dean’s Office and Yale University professionally.
  • Experience providing administrative support, scheduling meetings, and coordinating the logistics of meetings, events, and seminars.
  • Experience with expense management, processing, planning, and supporting events.
  • Ability to solve problems, take initiative, anticipate actions as needed, and manage conflicting demands.
  • Excellent written and verbal communication skills and the ability to articulate ideas clearly.
  • Excellent attendance and punctuality.
  • Excellent interpersonal skills and the ability to communicate and work with faculty, staff, and administrators.
  • Ability to work collaboratively and independently in an organized and productive manner.
  • Six years of related work experience, including four years in the same job family at the next lower level, and high school-level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
Responsibilities
  • Provide primary administrative support to a Faculty of Arts and Sciences divisional dean and an associate dean, including organizing meetings with individual faculty members, department and program chairs, and division- and Faculty of Arts and Sciences-wide committees.
  • Provide administrative support to other deans in the office as needed.
  • Create, circulate, revise, track approvals for, send, and maintain records of sensitive letters regarding faculty terms of appointment and leadership.
  • Maintain records of faculty appointment terms in the Porter database and FileNet.
  • Oversee or support faculty leave approval processes, secondary appointment processes, and faculty salary letters.
  • Support external departmental reviews, event planning, expense management, and ordering supplies.
  • Assist departments and programs with faculty searches, reviews, promotions, and tenure processes.
  • Prepare and disseminate required documents for ladder faculty searches, reviews, promotions, and tenure.
  • Create, update, and advance ladder faculty search, review, promotion, and tenure cases in Interfolio.
  • Communicate relevant rules and procedures governing letters, forms, questionnaires, referees or comparators, advertisements, and other requirements.
  • Work with department leadership and staff to ensure faculty search, review, promotion, and tenure processes proceed smoothly and meet documentation deadlines and requirements.
  • Perform other duties as assigned and provide coverage for other staff in the office.
  • Oversee and coordinate administrative, program, and office activities.
  • Establish, select, implement, and coordinate office procedures and systems.
  • Serve as a principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities.
  • Oversee, instruct, and coordinate activities of support staff.
  • Oversee preparation of materials for grants, contracts, and budgets.
  • Monitor expenditures and reconcile financial statements.
  • Provide editorial support for a journal or publication, including proofreading and editing material for grammatical and factual accuracy.
  • Track copy through editing and production stages and communicate with authors, printers, and others involved in published work.
  • Determine administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences and arrange the necessary items.
  • Determine sources of data, compile, synthesize, and manipulate data, summarize findings, and write reports or portions of reports.
  • Greet visitors, answer and screen telephone calls, assess the nature of business, respond to information requests, and provide assistance.
  • Screen and respond to mail.
  • Format, keyboard, proofread, and edit correspondence, reports, manuscripts, grants, and other materials.
  • Assemble attachments and corresponding material and review outgoing material for completeness, dates, and signatures.
  • Compose substantive correspondence and written material.
  • Coordinate travel arrangements and schedule and coordinate meetings and appointments.
  • Order and maintain inventory of supplies.
  • Take minutes or dictation and perform functions incidental to office activities.
Desired Qualifications
  • Demonstrated experience planning and supporting events and expense management.
  • Prior experience in an academic setting and knowledge of the faculty life cycle.
