Requirements
  • Strong communication skills.

Responsibilities
  • Provide comprehensive administrative support to leadership and assist faculty members within the department and divisions as needed.
  • Handle telephone communications, screen callers, relay messages, and welcome visitors.
  • Open, sort, prioritize, and distribute incoming correspondence.
  • Maintain organized files containing correspondence, contracts, meeting materials, and confidential information.
  • Prepare polished and informative presentations for departmental and divisional leadership using PowerPoint.
  • Undertake additional duties and special projects as assigned.
  • Provide administrative support to administrative management and division chiefs.
  • Liaise with EVMS Medical Group and off-site healthcare facilities to coordinate credentialing for new clinical providers and secure hospital privileges.
  • Assist in coordinating materials and information for the departmental newsletter with the chair and administrative support specialist.
  • Handle correspondence under faculty members’ names professionally.
  • Assist faculty with letters of recommendation for students and other required correspondence.
  • Coordinate faculty and administrative meetings, including notifications, locations, topics, catering, meeting-site confirmation, equipment, and virtual meetings.
  • Coordinate office needs, including copiers, purchasing, conference-room setup, and supplies.
  • Serve as backup administrative support to the chair.
  • Perform other duties and special projects assigned to meet department needs.
Desired Qualifications
  • An Associate’s degree is preferred.
  • Experience in an academic and/or healthcare setting is desirable.
