Requirements
  • Proven experience as an Executive Assistant or in a similar role.
  • Experience supporting senior/C-Suite leaders.
  • Prior experience of working in remote/hybrid environment and providing support to the leaders remotely.
  • Exceptional organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to juggle multiple tasks and projects simultaneously.
  • Proficiency in Microsoft Office Suite and other relevant software.

Responsibilities
  • Provide high-level administrative support to members of the Senior Leadership Team, including complex calendar management, meeting coordination, and end to end travel arrangements.
  • Act as a point of contact for internal and external stakeholders, ensuring professional and timely communication.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Coordinate logistics for meetings, including room bookings, catering, IT setup, and guest reception.
  • Provide cover for other Executive Assistants during periods of absence (sickness or annual leave).
  • Manage travel bookings and itineraries, ensuring alignment with business needs and preferences.
  • Process and reconcile expenses accurately and in a timely manner, in line with company policy.
  • Provide ad-hoc project coordination support, including tracking actions, following up with stakeholders, and preparing updates.
  • Help implement and improve administrative processes to enhance team efficiency and effectiveness.
  • Support event planning and team offsites, including logistics and agenda coordination.
  • Scribe meeting minutes and follow up on actions to closure.
  • Foster a positive and collaborative team environment, contributing to a high-performance and people-focused culture.
  • Build strong relationships across departments to facilitate seamless communication and coordination.
  • Proactively identify opportunities to add value and improve ways of working.
