Requirements
  • Bachelor's degree in business administration, Industrial and Organizational Psychology or related field
  • 2-3 years of relevant professional experience in office management, procurement, or operations is preferred
  • Strong willingness to work within a team environment and work collaboratively and cooperatively
  • Ability to work with frequent interruptions, handle multiple assignments, work on multiple short and long-term projects, meet and establish deadlines, prioritize amongst competing needs, respond in a timely manner to requests for information, and adapt to changes in workflow in ever changing environments
  • Strong attention to detail and high concern for data accuracy, as well as an understanding of data protection and privacy/confidentiality concerns
  • Commitment to racial equity and are willing to put in the hard work of changing whole systems in government
  • Excellent organizational and creative problem-solving skills
  • Ability to follow directions and apply proper policies, procedures, and guidelines
  • Ability to quickly learn and use various computer systems and software
  • Proficiency in Microsoft Office suite (Word, Excel, Visio, PowerPoint, and Access)
  • Demonstrated commitment to diversity, inclusion, equity, social justice, and accessibility
  • Background of living in, working within, or growing up as a member of communities facing historical oppression will contribute to your ability to guide the planning process
  • Demonstrated commitment, competency and strong familiarity with issues affecting Black, Indigenous, Latinx, Asian, Middle Eastern, or Pacific Islander communities in New York City, or other marginalized groups
Responsibilities
  • Schedule meetings among internal team members and with external stakeholders
  • Coordinate commissioner meetings, including scheduling meetings, preparing meeting agendas, notetaking, and completing follow up as needed
  • Provide general administrative office support, including securing equipment for staff, trouble shooting, and/or replacing assets and maintenance of all office and telephone directories
  • Processes and tracks the requests for proposals, contracts, purchases, P-card reconciliation, and invoices
  • Organize and maintain various files and electronic databases
  • Responsible for ordering, receiving, distributing, and delivering supplies and equipment
  • Supports with reports, gathering data and conducting research
  • Assists with the onboarding, offboarding and employee lifecycle process
  • Assists with ordering supplies, Improving and maintain executive office files
  • Assist in identifying opportunities to enhance office efficiency, effectiveness, and quality across departments
  • Assisting the development and monitoring the implementation of policies, procedures, and guidelines to ensure compliance with legal, regulatory, and office requirements
  • Coordinate various projects and initiatives related to operational improvements, system implementations, or organizational changes
