Requirements
  • Hands-on experience in international air, ocean, and over-the-road freight forwarding operations.
  • A minimum of 6 years of experience in logistics coordination, with a strong focus on international air and ocean freight operations.
  • Proven experience managing transload warehouse operations and truckload dispatch.
  • Strong understanding of international air and ocean freight regulations and customs procedures.
  • Proficiency with enterprise resource planning and logistics systems such as SAP, transportation management systems, or warehouse management systems.
  • Advanced Microsoft Excel skills, including PivotTables, VLOOKUP, and XLOOKUP.
  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • English language proficiency.
Responsibilities
  • Create and maintain daily tracking reports for air export, ocean import, and over-the-road operations, including weekend operations.
  • Gather departure information for containers and air cargo at ports, terminals, and airports.
  • Monitor and confirm on-time departures from United States ocean terminals and major airports.
  • Coordinate terminal departure schedules with terminal operators and customs brokers.
  • Track ocean containers, rail intermodal units, and air shipments in real time.
  • Validate Import of Documentation and Proof of Delivery daily.
  • Respond to shipment exceptions such as delays, damages, and customs holds.
  • Serve as the primary point of contact for carriers, freight forwarders, customs brokers, internal supply chain teams, and customers.
  • Handle claims, documentation, and issue escalations through phone, email, or virtual meetings.
  • Ensure shipments comply with international trade regulations, hazardous material requirements, and security standards.
  • Maintain accurate records for audits and regulatory inspections.
  • Receive and validate air export shipping instructions from customers.
  • Coordinate bookings with airlines and freight forwarders based on transit time and cost.
  • Prepare and review master air waybills, house air waybills, commercial invoices, packing lists, shipper's letters of instruction, and export declarations.
  • Coordinate Transportation Security Administration, International Air Transport Association, and dangerous-goods compliance when applicable.
  • Monitor cargo cutoff times, terminal receiving schedules, and flight departures.
  • Coordinate warehouse cargo receiving, screening, palletizing, and unit load device buildup.
  • Manage export customs clearance and respond to customs examinations or holds.
  • Track flight departures, transshipment status, and final arrival, and proactively resolve exceptions.
  • Communicate shipment status and milestones to customers through regular updates.
  • Handle flight cancellations, rollovers, offloads, and rebooking with minimal service disruption.
  • Review airline freight invoices and accessorial charges for accuracy.
  • Measure air export key performance indicators, including on-time departure, on-time arrival, booking accuracy, document accuracy, and claims ratio.
  • Support peak-season capacity planning and airline allocation strategy.
  • Drive continuous process improvement to reduce transit time and logistics costs.
  • Perform other job-related duties as assigned.
