Requirements
  • High school graduate.
  • At least four years of prior secretarial experience/post-high school education.
  • The ability to accurately type at a rate of 60 wpm.
  • High level proficiency with word processing, spreadsheet, presentation and database software (Microsoft Office Suite and Google Suite).
  • The demonstrated ability to independently maintain programs and administer ongoing projects.
  • This position is on-campus and in-person.
  • Schedule: 20 Hours/12 Months/ Monday – Friday.
Responsibilities
  • Provide high-level secretarial and administrative support to the Executive Director of Alumnae Relations and Advancement, the Associate Director of Alumnae Relations, and the Associate Director of Special Events.
  • Interact regularly with alumnae and volunteers.
  • Support the planning and execution of special events.
  • Maintain the alumnae database by processing address and life updates.
  • Manage office correspondence related to “For the Record” submissions.
  • Ensure accurate name checking and compilation of Class News for Avenues.
  • Field inquiries for the Executive Director and Associate Directors of Alumnae Relations, both verbally and in writing.
  • Track and code all event registrations.
  • Provide essential support for Reunion planning, including managing class-exclusive dinners and receptions, and assist with other special events.
  • Proofread written materials.
  • Supervise and train student workers.
  • Order and maintain office supplies.
  • Organize office files.
  • Run reports and inquiries from Banner, the College’s integrated database.
  • Assist alumnae with technical issues such as account access.
  • Assist other departments as needed.
  • Develop written updates for work processes.
  • Serve as a public relations representative for the department by answering routine questions about the College, events, and directing visitors or callers appropriately.
  • Other job-related duties may be assigned as necessary.
