Office Operations Executive

Role Title: - OFFICE OPERATIONS EXECUTIVE

ABOUT THE ROLE

We are a healthcare investment fund and studio. Our new Lower Parel office is a high-energy environment with 12+ team members working on multiple healthcare start-ups and will be buzzing with a lot of guest founders, investors and healthcare executives. We are looking for a sharp, polished, and proactive Office Administrator & Front Desk Attendant to be the face and operational backbone of our office. This is a high-trust role that requires exceptional interpersonal skills and a strong sense of ownership.

KEY RESPONSIBILITIES

A. Front Desk & Client-Facing

• Welcome and greet founders, investors and other stakeholders in a professional manner at the reception and waiting area

• Coordinate visitor logistics including parking slot allocation, and building access

• Coordinate boardroom and meeting room bookings; set up audio-visual equipment as required

B. Internal Operations & Administration

• Maintain a tracker for recurring expenses, subscriptions, and monthly office cost summaries for reporting to central finance team. Maintain filing systems for office documentation

• Liaise with building management, security, and external vendors for maintenance, repairs, and AMC servicing

• Oversee pantry and office supply inventory; raise purchase requests proactively

• Coordinate daily with housekeeping staff to ensure office cleanliness, consumable replenishment, and hygiene standards are met

• Maintain records of daily petty cash expenses and submit periodic statements

• Manage courier and dispatch register track inbound and outbound documents and parcels QUALIFICATIONS &

Educational Background

• Graduate in any discipline (BA / B Com / BMS / Hotel Management or equivalent)

• Proficiency in MS Office Suite: Basic Excel, Word, and Outlook is a must Experience

• 4-5+ years in a front desk, office admin, executive assistant, or office management role

• Familiarity with vendor management and basic bookkeeping. Bill management is a strong plus

Skills & Attributes

• Fluent verbal and written communication in English; Hindi proficiency required; Marathi is a plus.

• Ability to multitask and remain composed under pressure during high-activity periods

• Willingness to be available on weekends occasionally for important meetings (prior notice will be given)

• This is a full-time, on-site role. No work from home
