Requirements

Responsibilities
  • Provide administrative and clinical supervision to ensure the effective implementation of patient services.
  • Maintain liaison with administrators, physicians, and outside organizations.
  • Prepare operational and financial reports and analyses setting forth progress, adverse trends, and recommendations or conclusions.
  • Develop operating policies and ensure compliance with University policies and procedures.
  • Conduct meetings with subordinates to ensure compliance with established practices.
  • Implement new policies and keep employees abreast of current changes and standards.
  • Review facility usage to increase efficiency and profitability.
  • Maintain awareness of current medical technology, health insurance trends, and government regulations.
  • Adhere to all program and agency policies and procedures.
  • Maintain positive professional relationships with agency and intra-agency personnel.
  • Conduct utilization reviews of clinical services and track clinical plan goals and objectives.
  • Establish and continuously assess the effectiveness of internal controls within the unit and compliance with University policies and procedures.
  • Ensure employees are trained on controls within the function and on University policy and procedures.
  • Provide ancillary support to physicians and clinical and business activities, including creating schedules for 38 physicians in accordance with clinical expectations, clinical site needs, and time-off requests.
  • Ensure quality assurance, coordinate patient care guidelines, and provide physician, Uconnect, and Cerner support.
  • Initiate and implement business practices to improve operations.
  • Manage outpatient clinics, including opening, closing, and revising clinic templates.
  • Update provider profile details in Kyruus to improve scheduling.
  • Oversee reimbursement and reconcile and track provider continuing medical education activities.
  • Supervise and train Clinical Business Operations Representatives on the infectious disease clinical operations team for infectious disease and HIV clinics.
  • Provide guidance, mentorship, and at least quarterly feedback to staff.
  • Perform annual performance evaluations with staff.
  • Issue and interpret operating, compliance, and clinical operations policies.
  • Review and approve staff timesheets and investigate inconsistent data recordings.
  • Create standard operating procedures for clinical operations workflows, including patient scheduling, incoming and outgoing faxes, uploading medical records, clinic-specific requirements, and insurance authorization forms.
  • Analyze operating practices such as record keeping, forms control, office layout or workflow, communication practices, and clinic templates, and recommend ways to increase division efficiency and extend divisional resources.
  • Serve as liaison to various University departments and external vendors.
  • Attend University meetings and provide feedback regarding UCare, Epic implementation, HIPAA compliance, and third-party payor contracts.
  • Manage space logistics for the division’s operational locations, including the Clinical Research Building and Converge Miami.
  • Submit clinic templates and DEP requests for new outpatient clinics.
