Requirements
  • At least 5 years of experience working directly with senior-level staff.
  • At least 5 years of experience using the Microsoft Office suite.
  • At least 5 years of experience working in the Defense Travel System.
  • A Secret clearance.
  • Strong editorial skills, including grammar, spelling, style, and structure.
  • Comprehensive knowledge of travel regulations and the Defense Travel System.
  • Effective use of Microsoft Outlook, PowerPoint, Excel, and Word.
  • A valid state driver's license.
  • Successful completion of all position-related training.
Responsibilities
  • Serve as the co-lead Defense Travel Administrator for the Defense Travel System.
  • Complete travel activities for executive leadership and the AJPEO MRAS, including creating orders and vouchers and processing passports.
  • Manage the ET Document Staffing System by reviewing documents, coordinating with action agents, routing comments, uploading updates, and resolving issues before suspense deadlines.
  • Manage office-supply inventory and coordinate supply orders with financial personnel and Government cardholders.
  • Review documents, reports, presentations, memorandums, correspondence, briefings, information papers, issue papers, and meeting minutes.
  • Work directly with senior-level CBRNE or acquisition leadership.
  • Implement standard administrative practices aligned with organizational and Department of Defense priorities.
  • Manage day-to-day office operations, including answering phones, relaying messages, greeting and escorting visitors, coordinating communication, following Department of Defense and Army templates, managing documents, and coordinating conference-room logistics.
  • Operate video teleconference and audiovisual equipment.
  • Maintain leadership calendars, track daily and leave schedules, prepare packages, read-aheads, slides, and agendas, and notify leadership of upcoming events.
  • Provide support at conferences, off-site meetings, special events, classified visits, unclassified visits, and home-office-hosted meetings.
  • Manage and facilitate staff meetings, including reserving rooms, gathering slide inputs, setting up conference spaces, ensuring connectivity, and drafting minutes.
  • Coordinate CONUS and OCONUS travel arrangements, including orders, vouchers, accommodations, and transportation.
  • Maintain the office personnel database.
  • Review and maintain electronic and paper files.
  • Support the assignment, tracking, and completion of office taskers in the SASI system.
  • Monitor staffing packages in the Document Staffing System and submit draft and final documentation for JPEO-CBRND approval.
  • Maintain hard-copy records according to the JPM Office system and manage electronic records through SharePoint; serve as the SharePoint Knowledge Manager.
  • Ensure security measures are in place for classified meetings and conduct required physical-security checks.
  • Coordinate Foreign National visit documentation with the security office.
  • Serve as the primary coordinator for purchase requisitions, including documentation, GFPBS actions, signatures, and Government Purchase Card files.
  • Update recall lists.
  • Conduct accountability surveys during fire drills and emergency evacuations.
