Requirements
  • Graduation from a Hotel Management, Business program, or related degree.
  • Three to five years of leadership experience in purchasing, including at least two years in the hospitality industry, preferably in a large hotel, resort, or convention facility.
  • Familiarity with local, state or provincial, and federal laws and government regulations, including import regulations, brokers and customs, food and liquor, health, and employment and workplace safety.
  • General knowledge of equipment and supplies used in a hotel environment, including food and beverage products and alcoholic and non-alcoholic products.
  • Experience with the BirchStreet eProcurement, inventory, and recipe system.
  • Understanding of basic accounting practices.
  • Experience with Microsoft Office, including Word, Excel, and Outlook, as well as purchasing, accounting, and labor control software such as Watson and Timesaver.
  • Strong interpersonal, organizational, and administrative skills.
  • Strong written and verbal communication skills.
  • Ability to frequently stand and walk throughout the shift; kneel, push, pull, lift, and use ladders, stairs, and ramps.
  • Ability to frequently lift and carry items as required for the position.
  • Legal eligibility to work in the United States.
Responsibilities
  • Oversee and participate in procuring materials, equipment, supplies, and services needed to support the hotel.
  • Lead and develop the purchasing team by providing training and performance management.
  • Supervise procurement activities and approve purchase orders for compliance with company standard operating procedures.
  • Manage receipt of incoming products by verifying quality, weight, quantity, and temperature when applicable.
  • Ensure timely receipt and closure of purchase orders through direct action or administrative oversight.
  • Manage vendor setup and activation in Oracle GFS and BirchStreet, including system interfacing.
  • Collaborate with departments to anticipate demand, coordinate purchasing activities, and ensure sufficient stock for short-lead banquet requirements.
  • Attend BEO meetings for large groups or groups with special requirements.
  • Liaise with the Entegra representative or current Group Procurement Manager to ensure approved vendors perform according to contract and maximize approved vendor usage.
  • Qualify and negotiate with non-Group Procurement Manager suppliers, including facility inspections, certificates of insurance, product specifications, and performance metrics.
  • Initiate cost reductions through standardization, value analysis, and identification of improved products or services, and present recommendations to division or department heads.
  • Communicate temporary product substitutions and brand-standard changes and perform cost analysis.
  • Address pending invoice clarifications, vendor concerns, and statement reconciliation; scan invoices daily and coordinate with accounts payable.
  • Communicate and lead the monthly inventory process according to standard operating procedures.
  • Produce and distribute a daily food and beverage cost report, analyze cost versus sales with the Chef and Food and Beverage Director, and reconcile results to the general ledger.
  • Place liquor, beer, and wine orders; coordinate with TABC vendors; manage beverage invoices through payment; and ensure compliance with TABC Credit Law and local procedures.
  • Update BirchStreet with the monthly forecast, train department leaders in checkbook management, and facilitate and track purchasing-user training.
  • Manage user access, approval routing, and the BirchStreet matrix.
  • Maintain the contract critical-date list in ContractWorks and lead contract terminations, renewals, and negotiations.
  • Supervise supply areas and maintain working knowledge of the inventory system.
  • Maintain productivity and labor-cost goals.
  • Chair daily pre-shift and monthly department communication meetings.
  • Achieve employee engagement survey objectives and develop departmental action plans, including communication, coaching, mentoring, and task accomplishment.
  • Follow up on departmental health and safety standards.
  • Ensure company standards and product specifications are maintained.
  • Comply with Fairmont standards, regulations, and applicable local, state or provincial, and federal laws.
  • Train and supervise receiving clerks and storekeepers.
  • Manage and schedule department personnel.
  • Attend property meetings and communicate relevant departmental and purchasing updates.
  • Track food and beverage purchases and report food and beverage cost updates.
  • Provide friendly, service-oriented interactions with guests and employees.
  • Maintain required personal appearance, grooming, uniform, and name tag standards.
  • Adhere to corporate standards established by the brand.
