Responsibilities
  • Keep the clinic neat and organized by returning items to their designated locations.
  • Wipe down clinic tables daily.
  • Put away laundry and stock cabinets as needed.
  • Assist therapists with patients by triaging patients to the clinic area, setting patients up on stimulators, ice, and heat, bringing patient charts, and copying or printing exercises.
  • Perform filing, patient check-in and check-out, appointment confirmation, and other front-desk duties as needed.
  • Maintain and order medical, bathroom, and kitchen supplies.
  • Perform tasks and projects assigned by the manager.
  • Maintain detailed knowledge of practice-management and other computer software related to job functions.
  • Maintain patient confidentiality and comply with HIPAA and practice compliance guidelines.
  • Report problems to management.
  • Remain within eyesight or earshot of therapists.
  • Anticipate patient schedules and assist therapists accordingly.
  • Stock all areas before breaks, lunch, or leaving for the day.
  • Communicate schedule changes, including time off and early or late arrival, to staff.
  • Receive and direct incoming telephone calls.
  • Document messages accurately and forward them to therapists and personnel promptly.
  • Check designated voicemail boxes regularly and ensure timely follow-up on calls.
  • Schedule patient appointments; obtain complete medical, demographic, and insurance information; explain the practice financial policy; and direct insurance questions to therapy billing as appropriate.
  • Explain insurance benefits to patients.
  • Manage the cancellation list and fill open appointment slots where possible.
  • Ensure that patients sign in and present required referrals.
  • Generate new-patient flow sheets and paperwork.
  • Ensure new patients complete required forms and sign consent and financial agreements before the provider visit, and place required forms in the appropriate order in the medical record.
  • Enter patient information accurately and efficiently into the computer program, register new patients, and update established patient demographic or insurance information.
  • Notify the therapist or aide when patients are ready and seek assistance when appropriate to maintain patient flow.
  • Update printed schedules with added or canceled appointments and promptly notify billing of newly added patients.
  • Collect copayments, deductibles, coinsurance, visit charges, past-due charges, and durable medical equipment payments; document payments in the computer system and control log; provide receipts; and reconcile the control sheet with the computer system.
  • Forward cash and checks to the Practice Administrator for deposit preparation.
  • Schedule follow-up appointments as necessary.
  • Perform office opening and closing tasks, including straightening the waiting room.
  • Coordinate administrative supply orders.
  • Reschedule patients when a therapist's schedule changes.
  • Perform basic administrative tasks, including scanning and faxing documentation.
  • Perform other duties as assigned.
