Requirements
  • Completion of one year of post-secondary education in Office Administration and at least two years of related experience, or an equivalent combination of education and experience.
  • Knowledge of accounting procedures and inventory control.
  • Proficiency in Microsoft Office, including Word, Outlook, Access, and Excel.
  • Experience in web page maintenance, desktop publishing, Workday, and ActiveNet software is an asset.
  • Ability to communicate courteously and effectively in person, in writing, and by telephone with students, staff, and user groups.
  • Availability to work some evenings or weekends with notice.
  • Ability to function effectively independently and in team situations within and across departments and with other organizations.
  • Ability to demonstrate proficiency in the technical and job-knowledge aspects of the position.
  • Thorough understanding of exceptional customer service.
  • Demonstrated skills and competencies in planning, organization, and project management.

Responsibilities
  • Provide accurate, courteous, and professional service to customer contacts within the Athletics and Recreation department.
  • Use ActiveNet to process memberships, program and event registrations, locker sales and assignments, point-of-sale sales, merchandise sales, and equipment loans, and train frontline staff in these processes.
  • Act as an ActiveNet system administrator by entering, maintaining, and evaluating memberships, point-of-sale sales, locker sales, and basic equipment inventory.
  • Report Athletics and Recreation employee and student staff memberships to Human Resources for tax purposes.
  • Prepare facility cash deposits and reconciliations, process regular cash deposits, ensure end-of-day bank deposits are accurate and complete, and maintain accurate cash floats.
  • Ensure the accuracy of cash-management operations and recommend policy or procedure changes when appropriate.
  • Approve and process refunds according to established criteria.
  • Communicate with UBC Information Technology and UBC Treasury to ensure compliance with payment-card-industry policies, develop staff training, oversee operations, and make policy or procedure changes when appropriate.
  • Answer telephone, in-person, and email inquiries.
  • Prepare reports and track revenue and expenses for budget preparation.
  • Maintain and update physical and electronic signage.
  • Coordinate the hiring process for more than 100 department student positions, including panel and group interviews, recruitment of volunteers, and applicant screening.
  • Ensure completion of paperwork for hiring and termination of department student staff.
  • Ensure accurate and timely completion of payroll and human-resources forms for department student staff.
  • Assist with training and management of student staff, mentorship, and professional-development opportunities.
  • Assist with developing and administering the senior student team-lead structure.
  • Coordinate student-staff training days for approximately 120 Athletics and Recreation students and volunteers.
  • Facilitate student-staff team building by organizing gatherings.
  • Apply for Work Study for specific student-staff positions and fulfill Work Study requirements.
  • Assist Athletics and Recreation staff with the operations and administration of summer camps, recreation events and programs, group fitness, sport clubs, and intramural sports.
  • Assist with department events and carry out general clerical and administrative duties.
  • Provide relief coverage and administrative assistance to other department staff when needed.
  • Provide recommendations and input to the budgeting and forecasting process.
  • Assist with developing member-facility etiquette for the gymnasium and Hangar Fitness Centre.
  • Manage inventory and purchasing of fitness accessories.
  • Assist with distributing student-athlete financial awards in collaboration with department staff.
  • Plan, book, and track athletics travel requirements.
  • Assist with expense reconciliations, invoice payments, purchase orders, and other financial transactions.
  • Assist with booking space for department functions and related events.
