Requirements
  • Five or more years of verifiable work experience.
  • Deep operational knowledge of federal and state leave programs, including disability benefits, the Family and Medical Leave Act, the Americans with Disabilities Act and ADA Amendments Act, the Health Insurance Portability and Accountability Act, and the Uniformed Services Employment and Reemployment Rights Act.
  • Ability to handle sensitive medical situations with strict confidentiality and professionalism.
  • Customer service, conflict de-escalation, problem-solving, and decisive reasoning capabilities.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint, and standard cloud-based human resources information systems.
  • Authorization to work for any employer in the United States; employment visa sponsorship is not available.
Responsibilities
  • Serve as the central point of contact for managers, employees, vendors, and internal partners regarding leave of absence cases, including Family and Medical Leave Act, medical non-FMLA, personal, military, and administrative leaves, in accordance with statutory requirements and company policies.
  • Manage day-to-day leave processes by monitoring leave statuses, conducting follow-ups, and ensuring accurate and timely data entry in the human resources information system.
  • Audit processed leaves for compliance with changing state and federal employment laws.
  • Generate required legal leave documentation and distribute employee notices accurately within statutory timelines.
  • Communicate with benefits team members and department managers about localized leave of absence and workers’ compensation statuses.
  • Track and analyze daily leave reports to support rapid processing and alignment with the Family and Medical Leave Act, the Americans with Disabilities Act and ADA Amendments Act, and related regulations.
  • Administer workers’ compensation claims from intake through closure, including compiling incident details and obtaining formal interview statements.
  • Manage relationships with third-party administrators, insurance vendors, and state agencies connected to workers’ compensation and disability leaves.
  • Interpret and communicate complex leave policies, workers’ compensation frameworks, and federal regulations to employees.
  • Coordinate the end-to-end return-from-leave process, including fitness-for-duty documentation, workplace accommodation logistics, and management notifications of clearance status.
  • Partner with payroll to ensure employees on leave are compensated accurately based on benefits, accrued time off, or short-term disability parameters.
  • Maintain organized and confidential medical files and accurately calculate, track, and apply Family and Medical Leave Act entitlements.
  • Evaluate leave policies and procedures and recommend and implement process improvements and system efficiencies.
  • Identify training, education, and communication needs and coordinate and deliver training sessions to managers and staff on leave protocols.
  • Collaborate with Employee Relations to evaluate, document, and implement formal workplace accommodations under the Americans with Disabilities Act.
  • Execute strategic benefits projects and other administrative duties assigned by leadership.
Desired Qualifications
  • A bachelor’s degree in Human Resources or a related field.
  • Certified Leave Management Specialist certification.
