Requirements
  • A bachelor's degree is required, with communications, analytical, and organizational skills generally acquired through completion of the degree program.
  • No experience is required for candidates with a bachelor's or master's degree in a field directly related to the specific position.
  • Successful completion of Research Administration Academy onboarding training and registration in a learning track within the first 90 days is required.
  • Staff must maintain the training and certification requirements applicable to their level, including continuing education requirements.
  • The role requires the ability to analyze data and formulate conclusions.
  • The role requires proficiency with computers and a solid working knowledge of Microsoft Office Suite, including Word, Access, Excel, and PowerPoint.
  • The role requires knowledge of federal rules and regulations relating to research grant and contract activity.
  • The role requires knowledge of Duke University policies, procedures, processes, systems, and offices related to grant and contract submission and management.

  • Required training includes Research Administration Academy and, for specified tiers, AGM.
Responsibilities
  • Manage assigned projects and financial project portfolios.
  • Develop budgets and budget justifications, proof budgets for inconsistencies, and ensure accuracy.
  • Advise principal investigators on administrative requirements for proposal submissions.
  • Prepare, coordinate, and review proposal elements such as biosketches and facilities and resources for consistency, accuracy, and completeness.
  • Monitor compliance with agency and university submission regulations and verify financial information, including the appropriate overhead rate.
  • Review sponsored projects through SPS to ORA/ORS to ensure compliance with university procedures and institutional signature requirements.
  • Monitor fiscal performance of studies and identify areas requiring resolution.
  • Advise principal investigators on budget adjustments and revisions needed to meet sponsor requirements.
  • Monitor proposal status and advise principal investigators on requirements and deadlines associated with research protection protocols.
  • Develop project management plans for review by the principal investigator or senior grants administrator.
  • Make cost-sharing adjustments to reflect appropriate labor distribution or related cost-sharing obligations.
  • Manage budget, reporting, and compliance timelines throughout the grant or contract lifecycle and communicate new WBSEs to appropriate department personnel.
  • Establish sub-recipient financial and reporting requirements and coordinate issuance of sub-agreements with ORA and ORS.
  • Review and evaluate Site Based Research charge assignment grids using the study schedule of events and protocol.
  • Reconcile monthly budget reports and inform the principal investigator or supervisor of corrections and adjustments.
  • Identify the need for cost transfers from budget reconciliation and submit cost transfers.
  • Prepare and submit requests for re-budgeting or modifying funded project budgets as requirements change.
  • Reconcile and close sub-recipient budgets and obtain sponsor-required reports.
  • Monitor compliance with agency and university reporting regulations.
  • Maintain financial records according to institutional document-retention guidelines.
  • Ensure a standard operating procedure is in place for handling sponsor checks for deposit and recording in the appropriate fund codes.
  • Monitor and determine appropriate charging of patient-care expenses to study fund codes.
  • Interpret departmental policies and procedures, make decisions on specific operating problems, and issue instructions on behalf of the unit.
  • Manage overdrafts in accordance with unit procedures and institutional guidance.
  • Ensure proper recording of study-related revenue and apply revenue-management standards.
  • Close out funded projects consistently with university processes and timelines.
  • Apply federal and university rules to manage effort allocation for individuals compensated in whole or in part from federal awards.
  • Submit reports to the divisional administrator or business manager when requested.
  • May supervise grants and contracts assistants and support personnel.

  • Research or grants education and/or certification is preferred.
  • The Lead tier includes mentoring and developing staff and overseeing the work of others.
  • The Senior tier may include mentoring and developing others.
