Requirements
  • An Associate's degree and three years of progressively responsible experience in administrative support, or an equivalent combination of education and experience.
  • Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools such as Zoom and Box, and Adobe.
  • Knowledge of office procedures, database entry principles, customer service and public relations principles, mathematical principles, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, and event planning.
  • Ability to communicate and interact effectively, both verbally and in writing, with all people.
Responsibilities
  • Provide administrative support within a department and serve as the principal assistant to leadership roles.
  • Perform advanced and complex assignments, including managing department accounts, with minimal direction and independent judgment.
  • Prepare and review reports and documents, attend meetings, take minutes, oversee office management systems, and screen and direct calls.
  • Manage administrators' time and calendars, including travel and project timelines, by choosing or recommending among competing demands on time.
  • Integrate best practices to improve the efficiency and effectiveness of service delivery.
  • Maintain relationships and collaborate with various University divisions.
  • Develop and establish procedures and schedules to meet departmental operational needs, and maintain required activity records and reports.
  • Share information, policies, and operating procedures with faculty, staff, students, parents, and visitors, and interact with internal and external individuals.
  • Prepare administrative reports and coordinate and oversee highly confidential departmental matters.
  • Direct and coordinate departmental accounts; prepare operating-budget data and financial reports; analyze and allocate expenses; coordinate expenditures and property controls; and initiate or authorize orders for space, equipment, supplies, and services.
  • Serve as a liaison to leadership, administrators, faculty, staff, students, and visitors on behalf of the department or University.
  • Establish and build positive working relationships with external agencies and organizations.
  • Arrange accommodations, plan and coordinate visitor activities, and serve as a representative during visits.
  • Coordinate conference-room and meeting-room use, maintain room-use and event calendars, and arrange special events, seminars, workshops, and activities.
  • Coordinate and develop informational materials, presentations, communications, and departmental publications.
  • Supervise up to two support staff, prioritize and assign work, ensure staff are trained, and conduct performance evaluations.
  • Perform other duties as assigned.
