Responsibilities
  • Manages and coordinates the daily activities of a court section including supervising personnel and monitoring the section's budget.
  • Plans, organizes, manages, oversees, and assists with the non-judicial operations and administrative functions of the Court.
  • Develops and implements goals, objectives, policies, and standards to improve the quality and efficiency of Court operations.
  • Determines staffing needs and manages staffing levels for the division and develops work schedules to meet business needs.
  • Establishes performance expectations, goals, metrics, and individual development targets for staff providing clear directions on tasks with effective and continuous communication.
  • Encourages employee feedback and suggestions as well as motivates and promotes teamwork by creating a safe work environment leading by example.
  • Reviews timesheets of subordinates to ensure hours reported match expected work hours, discrepancies and leave requests.
  • Documents instances of misconduct or performance issues which include gathering evidence such as emails, reports etc.
  • Collaborates with Human Resources (HR) to ensure that disciplinary actions comply with the City’s policies and labor laws.
  • Collaborates with HR to determine the best process for promotions, hiring and recruiting ensuring alignment with Administrative Directives and Civil Service Rules, while meeting business needs.
  • Ensures staff compliance with all Committee on Judicial Education Training (COJET) requirements which are mandated by Arizona Supreme Court.
  • Effectively communicates expectations, goals and feedback ensuring the team is aligned and informed.
  • Identifies training and development opportunities that align with employees’ aspirations and the department’s needs.
  • Monitors the effectiveness of department operations by tracking statistics and metrics.
  • Produces and analyzes reports, statistics and productivity to determine alignment with business needs and makes recommendations based on data.
  • Provides data and statistics on department functions via the Arizona Judicial Automated Case System (AJACS), case management system.
  • Makes data-informed recommendations to administration and the presiding magistrate to positively shape court policy.
  • Completes data entry tasks for judicial services in the AJACS case management system and creates and manages the court calendar.
  • Oversees and performs case processing activities by completing daily audits and running reports.
  • Maintains sensitive and confidential information via the AJACS case management system and physical files.
  • Coordinates with other divisions within the department for case processing, court coverage, etc.
  • Oversees division goals and collaborates with supervisors and Court Administration to achieve division goals.
  • Assesses facilities and equipment needs and submits service requests.
  • Establishes and maintains effective working relationships with judicial officers, Court and County employees, supervisors, staff, union representatives, representatives of other governmental agencies, members of the public and others encountered in the course of work.
  • Recognizes complex problems and issues, performs difficult analysis and research, evaluates alternatives and develops sound conclusions and recommendations.
  • Represents the Court and division effectively on diverse issues in a wide variety of forums.
  • Ensures section operations conform with local, state and federal regulations, rules and requirements as well as compliance with legislative updates.
  • Acts as the interpreter contract liaison working with the City of Tucson on selecting and approving interpreters and interpreter scheduler to include providing daily coverage for court sessions as needed.
  • Supports offsite specialty courts functions ensuring there is coverage with appropriate staff.
  • Ensures all safety plans are clear, that all emergency evacuation rosters are up to date, and that Fire Wardens are aware of their duties.
  • Prepares the rotational calendar for magistrates; provides the monthly and daily courtroom schedule.
  • Oversees judicial secretaries, judicial assistants, calendaring and updating and the initial appearance team.
  • Addresses customer complaints and finds solutions to issues and concerns in a timely manner providing excellent customer service.
  • Collaborates with outside agencies: Tucson Police Department, City Prosecutor, City Public Defender, Motor Vehicle Department, Pima Animal Care Center, Pima County Jail, Pima County Consolidated Justice Court and Pima County Superior Court, City Inspectors, private Attorneys, Administrative Office of the Courts and clients to provide effective and efficient administration of justice in and out of the courtroom.
  • Serves as liaison for the Court by attending new hire events and the City Job Fair.
  • Investigates, documents and resolves escalated customer and employee complaints.
  • Performs all other duties and tasks assigned to promote the mission of the Court.
