  • A bachelor's degree or equivalent combination of education and experience is required.
  • Strong interpersonal and communication skills are required.
  • The ability to organize effectively and meet deadlines is required.
  • Must be willing to travel to symposia yearly or when needed, with the potential for travel to increase in frequency.
  • If hired, must complete the federal Employment Eligibility Verification I-9 form and present acceptable original documents proving identity and authorization to work in the United States by the third day of employment.
Responsibilities
  • Prepare, format, and send correspondence; assemble and distribute materials; review document accuracy; maintain electronic and hard-copy files; answer phones; and operate standard office equipment.
  • Manage online registrations, database entry, delegate registration correspondence, registration-counter coordination, and registration-related supplies.
  • Assist with symposia tasks before, during, and after events, including packing and unpacking supplies, setting up and taking down counter supplies, supporting registration, and coordinating preparations.
  • Support the Program Manager with budget and spending records for laboratory support, research, and symposium accounts, including monthly and year-end account and expenditure balancing.
  • Assist the Senior Program Manager with administrative support functions, including supervising, training, and evaluating student workers.
  • Serve as unit records management coordinator and liaison between functional areas and outside units; recommend and assist with implementing and auditing unit procedures.
  • Support program and advisory committee coordination and correspondence.
  • Edit and maintain symposia program management in Aventri software; create meeting documents; audit files for distribution; create and send author plaques; manage author correspondence; and collect proceedings.
  • Perform similar duties in support of the Center's activities beyond the main symposia throughout the calendar year.
Desired Qualifications
  • Experience in event planning and customer service is helpful.
  • Experience with Microsoft Office Suite is helpful.
