Requirements
  • A high school degree is required.
  • A minimum of five years of long-term care billing and collection experience is preferred.
  • Additional coursework in accounting or finance is recommended.
Responsibilities
  • Oversee all business office functions and ensure compliance with related policies and procedures.
  • Manage, train, organize, evaluate, and monitor business office staff, including assistant business office managers, bookkeepers, and receptionists.
  • Approve timecards and time-off requests for direct reports according to the center’s payroll cycle.
  • Ensure systems and controls are in place and meet established daily, weekly, and monthly deadlines.
  • Oversee census, ancillary, billing, adjustment, collection, write-off, refund, and deposit processes.
  • Manage resident trust fund procedures and ensure compliance with state and federal regulations.
  • Conduct or direct 72-hour financial meetings with new admissions and explain financial obligations and paperwork.
  • Monitor segregation of duties for cash handling and posting.
  • Explain remaining financial obligations to residents or responsible parties upon discharge.
  • Monitor private spend-down and Medicaid Pending conversions, tracking, escalations, and related processes.
  • Manage private advance billing and month-end close processes, including data entry, trial-claim review, census reconciliation, and checklist completion.
  • Manage accounts receivable collections for private pay and decentralized payers, and ensure accurate information for timely third-party claims.
  • Analyze bad-debt results and develop action plans to improve revenue-cycle goals.
  • Participate in and coordinate Revenue Cycle Management reviews and maintain collection notes in the collection module.
  • Keep the Center Executive Director informed of collection issues and respond to Centralized Billing Office requests.
  • Recommend and prepare accounts for outside agencies, attorneys, and write-off as applicable.
  • Attend center meetings, interdisciplinary team/utilization management/utilization review meetings, and other required meetings and calls.
  • Participate in Business Office Manager training, implement new processes, follow the Revenue Cycle Management calendar, and review the monthly newsletter.
  • Prepare documentation for internal and external auditors and help resolve general-ledger variances.
  • Ensure residents and families receive high-quality, caring, and compassionate service.
  • Perform other duties as assigned.
