Requirements
  • A bachelor's degree, or an equivalency of a high school diploma and five years of administrative experience, is required.
  • Proficiency with Microsoft Office, including Outlook, PowerPoint, and Excel, is required.
  • Experience with collaboration tools such as OneDrive, Zoom, and Teams is required.
Responsibilities
  • Provide administrative support for general management, a research environment, or a specific program.
  • Ensure office activities comply with Emory policies and procedures.
  • Respond to incoming telephone calls and route calls as appropriate.
  • Maintain calendars and prioritize meeting requests for management.
  • Review incoming correspondence, identify items of special interest to management, and prepare routine responses.
  • Complete forms, grant applications, and correspondence associated with programs as needed.
  • Prepare charts and graphs for reports and presentations.
  • Create and edit scientific, programmatic, and other departmental reports.
  • Schedule meetings and manage logistics for meetings and special events.
  • Prepare materials for meetings and special events.
  • Initiate, process, and maintain records and invoices.
  • Monitor account status, identify cost-effective solutions, and authorize expenditures as appropriate.
  • Monitor or maintain budgets and grants, assist with budget development, and prepare expense reports and reimbursements as needed.
  • Plan and coordinate domestic or foreign travel arrangements.
  • Maintain databases and spreadsheets, analyze data, and generate associated reports.
  • Establish and organize files and documents.
  • Order and maintain office supplies and forms.
  • Oversee office operations and communicate updates to policies and procedures.
  • Maintain department communications, calendars, websites, internal documents, announcements, and listservs.
  • Update office signage, nameplates, and lobby directories.
  • Manage the front desk and provide information to visitors, students, and faculty.
  • Manage incoming and outgoing mail and maintain mailbox assignments.
  • Organize, distribute, order, and secure office keys and request building access permissions.
  • Manage department phone trees, voicemail, office phones, and monthly telephone-charge monitoring.
  • Assist with curriculum vitae collection, promotion and tenure processes, teaching-observation letter collection, seminar materials, room reservations, and iPad loans.
  • Maintain storage areas, authorize purchases, and identify cost-effective alternatives.
  • Handle copier maintenance requests and shred bins.
  • Deliver documents and items across campus as needed.
  • Maintain and update listservs, SharePoint sites, teams or groups, and websites.
  • Lead the transition from OneDrive to a SharePoint site for shared internal document storage.
  • Process expense reports and other financial items as needed.
  • Set up and organize filing systems.
  • Train others on processes and procedures as needed.
  • Collect work authorization documents and assist with human resources procedures.
  • Prepare project plans and timelines and follow up to ensure project completeness.
  • Develop and maintain spreadsheets to track multiple projects and keep the manager informed of project status.
  • Welcome department visitors and assist with hotel reservations, travel arrangements, office or desk assignments, and new-faculty orientation.
  • Handle faculty-recruitment logistics, including advertisement postings, recruitment reports, and interview schedules.
  • Submit requests for sponsored accounts and Emory identification cards for department visitors.
  • Manage 1–4 student office workers by training them, delegating tasks, monitoring progress, maintaining schedules, and ensuring task completion.
  • Address student-worker performance issues and approve timesheets and related human-resources logistics.
  • Coordinate department events, including facilities setup requests, location reservations, attendance lists, name tags, catering, event setup, supplies, and basic technology needs.
  • Coordinate, attend, and prepare materials for meetings and special events and take minutes as needed.
  • Create and distribute announcements, flyers, invitations, and other communications.
  • Represent the department at events as needed.
  • Prepare managers for daily operations, maintain their daily schedules, and prioritize meeting requests.
  • Compose, edit, and type correspondence, reports, and manuscripts with minimal guidance.

  • Strong organization, proactive work habits, communication skills, multitasking ability, and the ability to work independently are preferred.
  • Self-motivation, accountability, problem-solving ability, investigative approach to solutions, and follow-through are preferred.
  • Strong proficiency in Microsoft Word, Excel, Outlook email, and Outlook calendar is preferred.
