  • A high school diploma is required.

  • The candidate must have two years of experience in an office support position.
Responsibilities
  • Coordinate, prepare, and assemble project reports and schedules as required.
  • Coordinate, estimate, and budget for property taxes and assessments as required.
  • Obtain, track, and cause the exoneration of bonds as required.
  • Update the corporate bond report for each community monthly.
  • Coordinate, prepare, and distribute requests for proposals and bids for each community.
  • Coordinate and prepare contract packages and corresponding budget revision worksheets for required signatures.
  • Enter contracts, change orders, and approved budget revision worksheets into the appropriate accounting systems.
  • Update and send billing grids to all trade partners every month for each project.
  • Process payments by obtaining all required backup, signatures, and lien releases before submitting them to Accounts Payable.
  • Coordinate with financial analysts and research and respond to Accounts Payable questions promptly as necessary.
  • Coordinate maintenance of budgets and budget reporting as required.
  • Obtain utility refunds in a timely manner or according to forecasted cash flows, code them appropriately, and forward them to Accounts Payable for deposit.
  • When utility company refunds are granted, reconcile utility refund reports and coordinate with financial analysts as required.
  • Receive, stamp, and distribute mail to appropriate parties.
  • Provide general support to the project team with day-to-day tasks as needed.
  • Prepare and distribute correspondence as directed.
  • Attend meetings as necessary, generate meeting minutes, and publish and distribute them within 24 hours of the meeting.
  • Maintain paper and electronic files and accounting binders.
  • File paper and electronic plans as needed, including wet-stamped final maps and plats.
  • Maintain office supplies and general office management for the Community Development operation as required.
  • Maintain calendars and appointments as requested.
  • Coordinate travel and expense reports as requested.
  • Travel to communities at the request of the manager or as required.
  • Collaborate with other Land Development Coordinators and finance and accounting staff to share best practices and foster process improvement.
Desired Qualifications
  • Some college or a college degree is preferred or desired.
  • Two years of office support experience, preferably in the land development or home building industry, is preferred.
  • Experience in real estate, commercial development, land planning, or residential land development is a plus.
  • Ability to safely and successfully perform the essential job functions in compliance with the Americans with Disabilities Act, the Family and Medical Leave Act, and other applicable standards.
  • Ability to maintain regular, punctual in-person attendance consistent with applicable standards.
  • Ability to lift and carry up to 25 pounds.
  • Ability to talk, listen, and speak clearly.
