Requirements
  • At least two years of work experience equivalent to the required knowledge, skills, education, and professional experience.
  • A high school diploma or equivalent and at least two years of experience supporting similar administrative or operational activities.
  • A Secret-level security clearance.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, and office technology equipment.
  • Excellent written, communication, interpersonal, and critical-thinking skills.
  • Ability to promote a teamwork environment.
  • An Associate’s or Bachelor’s degree.
Responsibilities
  • Provide advanced administrative support to the Bureau of Medicine and program management.
  • Communicate clearly and concisely through correspondence, emails, memorandums, PowerPoint presentations, customer interactions, briefings, reports, and issue summaries.
  • Maintain office supplies, materials, psychological testing materials, and services inventory, and identify emerging needs.
  • Generate and track work orders.
  • Submit and track information-technology service-center requests from initiation through resolution.
  • Oversee new-employee onboarding procedures and ensure new-hire checklists are complete.
  • Set up new-staff accounts in E2, OpenNet, ClassNet, JWICS, and payroll, and guide new staff through onboarding elements.
  • Manage staff travel in E2.
  • Maintain a program-office calendar to schedule and track actions, deadlines, and leave.
  • Draft requests for new diplomatic passports for staff.
  • Transition paper records to scanned electronic records.
  • Maintain an organized electronic document-filing system that is accessible to individuals with a need to know and compliant with security requirements.
  • Assess the electronic filing system for accuracy, currency, orderliness, and archival needs.
  • Maintain productivity metrics and case-referral progression using Microsoft Excel, ensuring case documentation is complete.
  • Collect and collate budget information, including costs and fees, and interface with vendors to obtain quotes and invoices.
  • Coordinate and synchronize personnel and project calendars.
  • Collect, record, catalog, and protect operational data, including Personally Identifiable Information.
  • Draft correspondence or reply to inquiries related to policy development, coordination, interpretation, or change.
  • Complete complex administrative or clerical tasks supporting ongoing policy, operational, or clinical activities.
