Requirements

  • The position requires customer-service orientation and the ability to handle a high volume of faculty and student requests.

Responsibilities
  • Manage all undergraduate courses for the Department of Biology under the day-to-day supervision of the UPBM Administrator and Curriculum Advisor.
  • Interface with faculty, staff, students, visitors, and central university services to administer courses and accommodate class and professor needs.
  • Communicate university policies, requirements, and guidance to faculty and students, including those with unique requests.
  • Consult with instructors about course administration, support the current semester, and plan logistics for the next semester.
  • Maintain more than 100 lecture, laboratory, workshop, and recitation sections each semester using the UR Student/Workday course management system.
  • Coordinate with the Registrar and Event & Classroom Management to assign appropriate rooms and secure projectors, recorders, and other equipment.
  • Use the Virtual Event Management System to reserve spaces for meetings, review sessions, and other course needs.
  • Develop registration strategies with faculty, adjust course schedules and sections, monitor room capacities, manage waitlists, open or cancel sections, and redirect students as needed.
  • Locate student records, check prerequisites, and assist instructors with special course enrollment forms.
  • Develop systems with faculty and head teaching assistants to collect grades from approximately 70 teaching assistants weekly.
  • Support grading schemes, synchronize grades with Blackboard, follow up on missing grades, process grade changes, and assist with final-grade reviews.
  • Schedule rooms for review sessions and exams, hire proctors, arrange accommodations, schedule make-up exams, and support exam administration.
  • Advise faculty on academic honesty and confidentiality policies and communicate policy changes.
  • Collect faculty information for registration, course descriptions, grade reporting, and exam and classroom schedules; track Registrar deadlines.
  • Draft and submit course descriptions and maintain enrollment, syllabus, and student records according to university policy.
  • Manage approval workflows and registration for UPBM Independent Research courses and communicate submission and grading deadlines.
  • Facilitate transfer-credit requests and maintain records of previously approved courses.
  • Assist with recruiting, hiring, interviewing, scheduling, and employment paperwork for teaching assistants; maintain expense and budget records.
  • Develop an adjunct teaching budget with the UPBM Administrator and communicate undergraduate teaching budgets to faculty.
  • Assist with student employment by maintaining job listings, processing hiring requests, approving time, processing additional payments, and resolving employment questions.
  • Coordinate and facilitate student events, research poster sessions, student employment events, informational sessions, welcome weekend, and graduation.
  • Reserve rooms, report equipment malfunctions, facilitate video-recording requests, and support classroom technology.
  • Maintain information about Blackboard and Panopto, assist faculty with course materials and access privileges, and serve as the primary Blackboard authority.
  • Serve as the STEM liaison, coordinate meetings, track action items, mediate course concerns, set standards, support policy and procedure creation, and coordinate course planning across STEM departments.
  • Review low-enrollment courses, support combining recitations and workshops, analyze scheduling conflicts, and support pre-medical and pre-health goals.
  • After training, provide broader administrative support to other departments.
  • Work occasional evenings and weekends when required for events and graduation.
