Position Summary: Day-to-day processing of Accounts Payables in a timely manner.

- Strong Microsoft Excel skills as well as computer experience to include AP processing software and Microsoft Word.
- Strong organizational skills and ability to prioritize work effectively.
Primary Requirements:
- Process weekly invoices for homebuilding subdivisions and overheads which includes checking invoice amount to contract and budget, coding, obtaining appropriate approvals and entering in accounting system for weekly check run. Data Entry also includes processing People’s Operations, Legal, IT bills and other invoices.
- Processing autopay invoices via WMS (Workflow Management Suite) system and reconcile with the project manager regarding Autopay PO’s approval and completion.
- Create and Issue an Admin PO in NAV (Microsoft Dynamics Nav). Match Admin PO’s to invoices when processing for payment ensuring coding and payment amounts is accurate.
- Weekly submission of invoices that need resolution/sign off from field staff.
- Process check requests such as county permits, employees, and homeowner’s reimbursement etc. & matching checks with invoices for weekly mailing and filing all backup as appropriate.
- Collecting lien waivers from vendors weekly if applicable.
- Maintaining excel schedule of outstanding invoices over budget to be reviewed with AP Manager.
- Assist vendors with questions regarding unpaid invoices, etc.
- Monthly review of vendor statements.
- Assist in processing utility invoices for all projects. Process payment for Credit card /non-Credit card utility vendors. Record and prepare back up for journal entry for Credit card payments in NAV (Microsoft Dynamics Nav) and update utility log sheet.
- Ensures that all certificates of liability insurance (COI) are current prior to mailing of checks (one person’s responsibility).
- Review cost ledger for closed houses (Final CJC Cost Job to complete) to ensure invoices were paid before the house is closed, contact vendors if needed for final bills.
- Review cost ledger for closed houses and reconcile with Purchasing department for budget discrepancies.
- Monthly reconciliation of GE appliance invoices with GE representative, superintendent, and Base to ensure accounts are in good standing.
- Create and maintain various AP reports in excel as needed.
- Process Land invoices via Land Dev Rapid start.
- Prepare and reconcile Land invoices with Land/Land acquisition Department, as necessary.
- Prepare and reconcile Van Metre Design and Build (VMD+B) invoices with VMD+B Project manager, as necessary.
- Attend regular accounting department meetings such as but not limited to Purchasing and Estimating, Construction or Sales.
- Process County Real Estate taxes.
- Prepare/Review and submit 1099’s vendors.
- Responsible for all new and active vendor files.
- Keep manager informed on a weekly basis of any ongoing problems in written format with vendors or invoices.
- Assist on ACH Onboarding enrollment for all active & new vendors, investors, intercompany and employees via Wells Fargo onboarding or In-House ACH enrollments.
- Update Nav and AP Connect weekly regarding ACH Onboarding list from Wells Fargo for verified vendors and provide list of ACH IP vendors to Investment Properties to update Yardi System.
- Monitor weekly Hold vendors and retainage for the vendor run.
- Establish and maintain good relationships with new and existing vendors.
- Sort and distribute mail on a rotational basis with other staff members and monitor invoices received via Fax.
- Assist AP manager when necessary.

- Salary: $50,000-$55,000 annually (Pay is commensurate with experience, education, training, and skills)
