Requirements
  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience in administrative or program support, secretarial support for a manager, coordinating communications, supervising subordinate staff, or researching information from internal and external sources; alternatively, one year of experience as an Administrative Assistant III in Nevada State service, or an equivalent combination of education and experience.
  • Experience using Microsoft Word and Excel.
  • Ability to exercise discretion and judgment with highly sensitive and confidential information.
  • Ability to coordinate logistical needs, ensure compliance with policies, and collaborate with other departments.
Responsibilities
  • Resolve administrative questions and act as a liaison between faculty, staff, students, and the public.
  • Read, screen, and process incoming correspondence, mail, phone calls, and reports; forward items to appropriate staff and administrators; and diffuse upset customers.
  • Stay current with University issues, problems, activities, and special interests.
  • Maintain and prioritize the calendars of various Vice Provosts and the Chief of Staff.
  • Coordinate and schedule meetings and trainings; prepare correspondence, communications, and reports; and create and distribute agendas, minutes, and supporting documentation.
  • Gather additional information, provide data, and communicate issues to the Vice Provosts and Chief of Staff as needed.
  • Research, assemble, and develop presentations, projects, and reports for the Vice Provosts.
  • Coordinate departmental communication initiatives, manage the timeliness of cyclical communications, and create and send communications for the unit.
  • Manage the departmental budget.
  • Assist with fiscal and human resources transactions.
  • Serve as the primary resource and contact for Vice Provost-initiated activities and other events.
  • Coordinate logistical needs and organize, schedule, and coordinate activities while ensuring policy compliance and collaborating with facilities, information technology, police, and other departments.
