Requirements
  • A high school diploma or equivalent is required.
  • One to three years of administrative, clerical, receptionist, or office support experience is required.
  • A California driver's license and vehicle registration are required.
Responsibilities
  • Support front desk and lobby operations and serve as a professional point of contact for incoming visitors and guests.
  • Greet visitors, check them in, and notify personnel of their arrival.
  • Provide general support to visitors and connect them with the appropriate office personnel.
  • Assist with organizing office operations and administrative procedures.
  • Help maintain conference rooms in a clean and orderly condition and assist with room setup for visitors, training sessions, and new hire orientations.
  • Assist with incoming and outgoing correspondence, including emails, mail, packages, and deliveries.
  • Monitor office, kitchen, and break room supplies and assist with inventory management and ordering.
  • Support coordination of weekly, monthly, and special lunch orders as needed.
  • Assist in maintaining office equipment and general office organization.
  • Coordinate with building management, vendors, cleaning services, catering, and security personnel as directed.
  • Assist with submitting invoices and documentation to accounting for reconciliation.
  • Help submit work orders and schedule repairs for office space and equipment.
  • Assist with planning and coordinating office events, celebrations, meetings, and conferences.
  • Support Spirit Squad activities, including meeting coordination, documentation, and event preparation.
  • Assist with new hire onboarding activities, including preparing orientation materials, reserving meeting rooms, assembling packets, and coordinating meals as directed.
  • Coordinate employee travel arrangements and accommodations as assigned.
  • Assist with company communications, calendars, announcements, and other employee engagement activities.
  • Support the Employee of the Month survey process and assist with communications regarding employee recognition programs.
  • Assist employees with temporary badge issuance and related documentation as needed.
  • Perform general administrative support duties, including filing, data entry, document preparation, scanning, copying, and correspondence.
  • Support specialized projects on an as-needed basis as directed by department or company leadership.
  • Perform other duties as assigned.
