Responsibilities
  • Lead and provide a user-focused office facilities-management solution and act as the local main contact for facilities-related issues under Central Services’ scope.
  • Act as the Health, Safety, Environment, and Security representative responsible for office health and safety and compliance with company policies and procedures.
  • Coordinate third-party supply-chain services, including cleaning, hygiene, vending, mechanical and electrical services, and landlord services, to ensure smooth day-to-day office operations.
  • Manage stationery and printer-hub requirements, including ordering, replenishment, and maintenance of standards.
  • Manage calibration certification for Disto devices.
  • Manage post and parcels.
  • Support colleague onboarding and office inductions.
  • Conduct and maintain records of contractor site inductions, including facilities, health and safety, and evacuation information.
  • Log facilities and reactive-maintenance requirements through the helpdesk and monitor them through completion, including communication, updates, and escalation.
  • Work with or delegate to others to resolve queries, reactive works, and scheduled planned preventive maintenance in a timely manner.
  • Liaise with building management on common services and own or provide required data.
  • Facilitate and oversee physical office changes with the National Facilities Management team in accordance with the change-control policy.
  • Maintain required ISO documentation, systems, and practices and implement actions needed for audit compliance.
  • Assist with planning and implementing Business Continuity plans, including annual testing, scenario-training days, battle boxes, grab bags, and local emergency-contact databases.
  • Fulfil the required emergency role to ensure Business Continuity plans operate effectively.
  • Ensure the local office-archiving process is followed and well managed.
  • Follow purchase-order and invoice processes and verify and sign off required paperwork before processing.
  • Liaise with the Regional Managing Director on local issues and ensure appropriate remedial action.
  • Escort contractors on site when necessary and ensure surrounding areas are safe after works are completed.
  • Attend required training and apply learnings to everyday service delivery.
  • Complete office inspections, including cleaning-quality audits, general health-and-safety inspections, fire-exit inspections, and maintenance inspections.
  • Conduct daily floor walks to ensure the office is safe and presentable and identify and log building issues.
  • Liaise with National Facilities Management to complete health-and-safety audits, processes, and documentation.
  • Complete corrective actions from audits and update action plans through closeout.
  • Upload statutory and mandatory building-compliance certification through the Concept management system.
  • Conduct monthly compliance monitoring to ensure certification and legal building documentation remain current.
  • Conduct accident investigations and reporting as required.
  • Communicate with the team and colleague network about changes and new initiatives and support implementation.
  • Maintain immaculate office presentation and professional demeanour.
  • Serve as the appointed first-aid and fire-marshal representative and discharge those duties.
  • Contribute to monthly Workplace Experience location-services reports.
  • Advocate for change and motivate and support others with new initiatives.
  • Support employees with remote and on-site display-screen-equipment assessments.
  • Support the Welcome Space team with front-of-house services to ensure business continuity.
  • Provide colleagues with timely updates and alerts about disruptive maintenance, local policy or procedure changes, and other relevant information.
  • Maintain current working knowledge of Workplace policies, procedures, systems, and tools and provide building users with service information.
  • Resolve challenges and complaints, escalating to the line manager when required.
  • Escalate service concerns to National Facilities Management immediately.
  • Ensure compliance with Avison Young policies, including the General Data Protection Regulation, bribery, bullying and harassment, and unconscious-bias policies.
  • Escalate concerns about the role or environment through the correct channels.
  • Represent Avison Young as an ambassador.
