Requirements

Responsibilities
  • Facilitate the prompt resolution of problems related to pre- and post-care arising in daily clinical operations.
  • Perform general administrative and receptionist functions, including answering incoming calls, efficiently managing patients, and acquiring necessary patient care information and records.
  • Assist patients in a courteous, efficient, and professional manner while ensuring adherence to divisional and departmental service standards.
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple department telephones, triage incoming calls, respond to questions, direct calls, and document messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate employee according to their needs.
  • Work cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provide coverage for co-workers' responsibilities when assigned or as needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality of all information.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Complete physician orders and requests accurately.
  • Monitor access to new appointments and manage waiting lists.
  • Manage U-chart and Otter in-baskets for the assigned specialty.
  • Enter and route requests to appropriate staff within OTTR, U-Chart, and/or Cerner.
  • Proactively monitor and manage physician clinical schedules to optimize time and capacity, including scheduling non-transplant clinics and procedures.
  • Follow instructions from and assist supervisory staff as required.
  • Treat patients, co-workers, and internal customers with dignity and professionalism in person and by phone.
  • Maintain professional relationships with physicians.
  • Establish and maintain good working relationships with fellow employees.
