Location : Industrial Ecopark at Salaberry-de-Valleyfield (100% On-Site)

Work schedule: The Work schedule may involve working during the evenings and on the weekends.

Position Summary:

Under the direction of the Associate Director, ensure the efficient and effective operations of the Collections Centre. Organize, support, guide and monitor the progress and performance of all staff involved in the management of library collections held at the McGill University Collections Centre (MUCC). Develops procedures and makes recommendations to improve unit efficiency. Acts as a resource person, resolves problems, instructs others and provides troubleshooting and technical advice. Participates in collection maintenance and the development and implementation of projects. Performs other administrative and operational functions in support of the Librariess mission.

The person will work in the specialized library environment of the MUCC equipped with an Automated Storage and Retrieval System (ASRS). The Collections Centre is located off campus, in Salaberry-de-Valleyfield. The incumbent will directly supervise a team of Senior Library Clerks.

Primary Responsibilities:

• Supervise staff and the daily operations at the Collections Centre. Schedule and assign workload and evaluate progress of assignments; follow up and deliberate with Associate Director regarding the results and daily priorities. Note and follow up on absences, address staff issues immediately, reassign priorities to ensure optimal service delivery. Regularly confer with Associate Director in order to re-develop plans or workflows and co-ordinate service and administrative needs. 

• Respond to requests and queries, concerning policies, practices and procedures at the Collections Centre. Assess and resolve problems related to collections, facilities and security. Refer more complex inquiries to the Associate Director, as necessary. Apply the policies, practices and guidelines and when appropriate, inform the Associate Director.

• Participate in re-developing, improving, and modernizing policies, practices, and guidelines to meet the needs of the Collections Centre workflow and procedures. 

• Participate in the recruitment of staff. Prepare interview questions and evaluate performance, including Mid-Review and End-of-Probation Reports.  

• Train staff on specialized software and equipment, when required. 

• Ensure staff are informed of changes and updates by preparing documentation detailing new procedures, policies and/or services. 

• Regularly confers with Associate Director of the Collections Centre to plan and oversee service and administrative needs. 

• Oversee the Course Readings service, coordinating requests from instructors to identify reserve material needs and provide support in the delivery of course readings. Build strong relations with faculty members, liaison librarians and other units within the library, such as Library Technology (especially Copyright Compliance office and Digitization Lab). Implement administrative procedures or systems that support the receiving and processing of the material to handle it rapidly and efficiently.

• Assist with complex inquiries and troubleshoot issues related to document delivery services, including the Article/Chapter Scan service and the Course Readings service.

• Implement policies and procedures and oversee maintenance of manuals and documentation to Ensure staff compliance with occupational health and safety regulations and requirements. Ensure safe working conditions for staff, when appropriate, advise Associate Director and develop solutions for improvement. 

• Oversees maintenance of building and operating manuals. Troubleshoots operational problems with ASRS. Acts as a resource person, resolves problems and instructs others as required. Reports issues with the ASRS as appropriate.  

• Prepares ASRS reports and logs. Compiles data, analyses and discusses results and their interpretation with others. Determines action to resolve problems. Maintains records and files. 

• Oversees timely and accurate services including storing and auditing of items. 

• Oversee Collections Centre stacks operations, e.g., shelving, relocating parts of the collection, searching for missing books. Report issues with equipment as appropriate.

• Attend and represent the unit at internal and external meetings or committees as required.

• Liaise and collaborate with other University units and external organizations on specific projects, including shared print initiatives.
