Requirements
  • A university degree in a relevant field, or an equivalent combination of education and work experience.
  • A minimum of 4 years of experience in a research administration or communications role.
  • Experience interpreting and applying research policies and procedures with strong attention to detail.
  • Strong organizational skills and the ability to produce high-quality work under pressure while managing competing priorities and meeting strict deadlines.
  • Experience in analysis and problem-solving.
  • Excellent communication, interpersonal, and customer service skills, including writing, editing, and proofreading skills.
  • Demonstrated ability to create and maintain relationships within the University and externally.
  • Experience planning and organizing activities and projects.
  • Ability to work independently while exercising excellent judgment.
  • Experience using computer systems and applications such as Windows, word processing software, spreadsheets, databases, presentation software, the internet, and email.
  • Bilingualism in English and French.
Responsibilities
  • Act as the first point of contact between the Research Office and faculty members, hospital and research institute partners, and external funding agencies.
  • Monitor inquiries, determine their nature and urgency, provide accurate responses, and maintain relationships with key contacts.
  • Lead the development and implementation of the Research Office communications strategy across newsletters, websites, social media, listservs, and medical research funding and awards databases.
  • Monitor research activities and generate content about research services, special projects, and funding opportunities.
  • Develop, draft, edit, and translate content while complying with web, official-language, accessibility, and established policy standards.
  • Promote Research Office initiatives, events, and funding opportunities to target audiences.
  • Establish standard formats, text, and templates for research and promotional materials, proposals, and letters.
  • Develop and evaluate performance indicators and coordinate improvements to maximize communications effectiveness.
  • Manage administrative processes for Research Office activities and initiatives, including monitoring the generic email inbox, setting agendas, scheduling, attending meetings, and compiling minutes.
  • Make logistical arrangements for scientific and partnership initiatives, workshops, events, team meetings, and site visits.
  • Write letters, correspondence, reports, and internal policies and procedures for internal and external use.
  • Plan and manage assigned research office projects and programs, including internal research funding programs, student bursary programs, events, site visits, and special projects.
  • Define project scope, determine steps, monitor progress, make adjustments, and ensure communication between participants.
  • Assist with internal policy and program development, launch calls for funding applications, organize seminars and research-focused events, synthesize information, solicit and review letters, compile grant and award documents, and coordinate internal review processes.
  • Support research promotion by identifying stories, drafting research profiles, and developing communications materials that promote faculty research to media and the general public.
  • Develop and maintain knowledge of faculty members and their research areas to support targeted communications, expert committees, media inquiries, and focused research teams.
  • Oversee the Research Office website, MedResearch newsletter, and annual report, including gathering, compiling, and posting information.
  • Write communications such as letters, acknowledgements, correspondence, and newsletter articles to promote faculty members, initiatives, and priorities.
  • Support research office portfolios involving research space and technical services, research grants and contracts, and research chairs and awards.
  • Provide administrative support to research committees and assist with nominations, research policies, and other formalized documents.
  • Coordinate the review and approval of grants and contracts requiring institutional or Vice Dean Research and Innovation approval.
  • Coordinate the Animal Care and Veterinary Services Scientific Merit Review process and ensure compliance with university and government policies.
  • Conduct surveys and compile research data, statistics, and other information related to rankings, trends, faculty research activities, publications, funding, and research contracts.
  • Support internal and external reporting and provide management with data for long-term strategic planning.
