Job Description
We are currently looking for a motivated Administrative Assistant to join our team at our Lévis, Quebec site. This is a daytime, on-site position from Monday to Friday.
Reporting to the general manager, the administrative assistant plays a key role in supporting the General Manager in both their responsibilities as General Manager and Commercial Director, particularly with purchasing-related activities.
What you'll be responsible for:
- Draft emails to clients and review client agreements.
- Work closely with the Account Manager in Québec.
- Answer incoming calls for the Lévis office and route calls to the appropriate departments.
- Schedule client appointments and follow up with clients as needed.
- Generate data analysis reports.
- Manage the manager's email inbox.
- Forward marketing emails to the appropriate buyer.
- Track employee payroll and vacation requests under the manager's supervision.
- Enter data to produce reports.
- Provide support to internal and external clients.
- Handle administrative follow-up for employees on the manager's team.
- Manage uniforms, personal protective equipment (PPE), and office supply orders.
- Coordinate logistics for corporate suite events.
- Follow up on invoices for specific projects.
- Perform other related duties as assigned.
Qualifications
To join our team:
- Have relevant experience in an administrative assistant, executive support, or similar role;
- Are proficient with computer applications, including Microsoft Office and OpenERP;
- Have excellent verbal and written communication skills;
- Are able to manage multiple priorities simultaneously with accuracy and attention to detail;
- Have a strong customer service mindset and collaborate effectively with a variety of stakeholders;
- Demonstrate discretion and are able to handle confidential information;
- Are self-motivated, resourceful, and take initiative;
- Are bilingual in English and French, both written and spoken.
