Responsibilities
  • Serve as the financial and human resources advisor to the Center Director.
  • Provide monthly budget update spreadsheets and budget estimates to the Center Director and Project Leaders.
  • Work with the Center Director to prepare the annual budget cycle process and other budgetary actions throughout the fiscal year using FAMIS and Canopy.
  • Assist the Center Director and Project Leaders with state, local, and grant accounts, ensuring proper spending by category restrictions and that funds are expended by account end dates.
  • Track awards, including local, state, and grant funds, and complete the annual income spreadsheet by month and calendar year for the Center Director.
  • Coordinate annual fiscal year-end closing procedures and set up new fiscal year budgets according to the Center Director’s directives.
  • Coordinate and oversee fiscal activities, including purchasing requirements for the Center Director and Project Leaders.
  • Review and approve proposals in Maestro before Center Director approval.
  • Oversee monthly verification of expenditures, deposits, and invoices.
  • Assist the Center Director and Project Leaders with recruiting and hiring documents for new personnel and assist with Workday processes.
  • Assist with preparing and updating position descriptions in Workday.
  • Oversee completion of all faculty and staff annual evaluations through Workday in accordance with policy.
  • Oversee preparation of payment vouchers and ensure correct account information for processing payables and travel expense reports.
  • Approve purchase orders, travel requests, travel expense reports, and related documentation in AggieBuy, Emburse, and Canopy.
  • Oversee processing of newly hired and terminated employees, including international paperwork and documentation.
  • Ensure training documents and records are up to date.
  • Process necessary costing allocations for account source changes.
  • Oversee biweekly and monthly payroll processing in Workday for final processing by the Payroll department.
  • Oversee and assist with electronic inventory records, including building, equipment, and livestock inventories, and complete required reports, transfers, deletions, and changes.
  • Serve as the Accountability Property Officer.
  • Work with the Human Resources department to ensure AgriLife and System policies and procedures are followed.
  • Answer policy and procedure questions from faculty, staff, and the Center Director.
  • Serve as an approver and backup signer of vouchers and requisitions.
  • Serve as a delegate approver for the Center Director and Project Leaders as needed.
  • Supervise and manage administrative team members at the Corpus Christi Center and Beeville facility.
  • Perform other job-related duties as required.
