Responsibilities
  • Manage the planning and execution of meetings for the Vice President and Executive Director of the Center for Complex Medicine.
  • Coordinate group meetings, prepare agendas and packets, and order food.
  • Attend meetings and capture detailed minutes.
  • Ensure the Vice President and Executive Director have appropriate materials for meetings and presentations, that equipment is in good working condition, and that presentations can be delivered without audiovisual problems.
  • Plan and coordinate official gatherings and other business and social events involving the Center for Complex Medicine.
  • Process expense reimbursements for the Vice President and Executive Director.
  • Make travel arrangements for the Vice President and Executive Director and follow up to ensure arrangements are in place from beginning to end with detailed written itineraries.
  • Maintain hard-copy and electronic files for easy retrieval.
  • Respond to calls and complaints, ensure they are handled appropriately, or assign and follow up on them.
  • Greet guests and ensure phones are answered while demonstrating customer service skills.
  • Serve as a backup to UT Hospitalist support staff when needed.
  • Process mail for the Center for Complex Medicine.
  • Maintain supply inventory for the Center for Complex Medicine.
  • Perform other duties as assigned by the Center for Complex Medicine leadership team or physicians.
