Requirements
  • A high school diploma or equivalent is required.
  • Two to three years of medical office experience is required.
  • Bilingual English and Spanish proficiency is required.
  • Basic working knowledge of Microsoft Office, including Word and Excel, is required.
  • One year of customer service or reception experience is required, preferably in a healthcare environment.
  • Ability to prevent, calm, or defuse irate callers and patients by identifying their concerns and properly directing calls.
  • Knowledge of medical terminology and organization services.
  • Ability to work in a fast-paced, dynamic environment while providing verbal and written communication, customer service, and phone etiquette.
  • Ability to multitask, work independently, and remain detail oriented.
  • Influenza vaccination is required for employment unless an approved medical exemption is granted.
Responsibilities
  • Complete office activities such as filing, telephone answering, document preparation, record retention, duplication, faxing, mail distribution, and supply ordering.
  • Confirm appointments, verify insurance and patient identification, obtain pre-authorizations, maintain the problem log, return phone calls, ensure patient paperwork is completed within 72 hours, and see patients in scheduled appointment order.
  • Compose and prepare correspondence, invoices, reports, and presentations, and maintain appropriate files.
  • Maintain and stock supplies in designated areas, check assigned equipment for proper function, and promptly report malfunctions.
  • Prepare patient charts and obtain all required consents for non-clinical visits.
  • Schedule appointments and meetings appropriately.
  • Address patient complaints in a timely and effective manner.
  • Maintain communication with the Office Manager and Senior Practice Manager.
  • Provide administrative and clerical support when necessary.
  • Comply with the organization's privacy, security, confidentiality, and Health Insurance Portability and Accountability Act policies and procedures.
  • Participate in the department's quality improvement plan.
  • Maintain patient confidentiality and comply with Health Insurance Portability and Accountability Act regulations.
  • Schedule patients correctly in the electronic medical record and bill appropriately.
  • Act as a messenger when required.
  • Organize the center's calendars and serve as the liaison between medical professionals and patients.
  • Perform other duties as assigned.
