Requirements
  • At least one year of related experience in reception, office administration, office services, hospitality, customer service, or a comparable customer-facing coordination role.
  • Two or more years of related experience in a corporate office environment, including exposure to facilities or vendor coordination, mail and courier administration, meeting and catering support, or new hire office setup.
  • Strong service orientation and the ability to create a welcoming, professional experience for visitors and team members.
  • Clear written and verbal communication skills, with sound judgment regarding when and how to escalate requests.
  • Strong organization, prioritization, and time-management skills, with the ability to manage frequent interruptions and competing requests.
  • Demonstrated attention to detail, follow-through, reliability, and discretion when handling confidential or sensitive matters.
  • Proactive, resourceful, and adaptable approach with practical problem-solving skills and a continuous improvement mindset.
  • Ability to collaborate effectively with team members, people leaders, executives, vendors, building management, and cross-functional partners.
  • Working proficiency with Microsoft Office Suite, including email, calendars, documents, spreadsheets, and presentation tools.
  • Ability to learn and use visitor management, telephone, room booking, work order, purchasing, invoice, expense, and courier systems.
  • Proficiency with standard office equipment, including multifunction printers, scanners, postage or shipping tools, and audio-visual meeting room equipment.
  • Ability to use approved AI tools responsibly, with appropriate review of outputs and protection of confidential, personal, and sensitive information.
  • Postsecondary certificate or diploma in office administration, business administration, hospitality, customer service, or a related field.
Responsibilities
  • Provide consistent reception coverage during business hours, greet visitors, confirm appointments, issue or coordinate visitor access, and notify hosts promptly.
  • Answer and direct incoming calls and general inquiries, monitor shared reception communications, and provide courteous, accurate information.
  • Maintain a professional, welcoming, and organized reception area while following visitor-security, privacy, and emergency procedures.
  • Coordinate day-to-day office operations and respond to team member requests, escalating urgent or specialized matters to the appropriate partner.
  • Submit and track facilities requests; coordinate building management, maintenance providers, cleaners, and other vendors; and follow through to resolution.
  • Monitor meeting rooms, shared spaces, kitchens, and office equipment to support a functional and professional work environment.
  • Receive, sort, distribute, and send mail, packages, and couriers; maintain tracking records when required and handle sensitive items appropriately.
  • Monitor office, kitchen, and stationery inventory; place approved orders; receive deliveries; and maintain organized storage areas.
  • Support approved office purchases, invoice and receipt administration, and cheque processing in accordance with established controls and procedures.
  • Coordinate catering and meeting logistics for office meetings, Executive Team meetings, leadership sessions, team engagements, and corporate events.
  • Prepare meeting rooms and coordinate room setup, supplies, refreshments, vendors, and post-event reset or cleanup.
  • Assist with the planning and on-site execution of office events and other workplace initiatives as assigned.
  • Coordinate the office setup for new hires, including access requests and first-day logistics in partnership with HR, IT, and people leaders.
  • Provide new hires and visiting team members with practical office information and help connect them with the appropriate internal resources.
  • Support ongoing workplace needs and help maintain current office information, signage, procedures, and resource materials.
  • Serve as a central coordination point for routine company-wide administrative needs and collaborate with corporate departments to support smooth communication and workflow.
  • Maintain accurate records, checklists, contact lists, and task tracking; identify practical improvements to reception and office processes.
  • Provide general administrative support and complete other related duties consistent with the role's purpose and level.
