Requirements
  • Experience working in a fast-based environment, preferably office management, hospitality or admin experience
  • Executive Assistant/Office management experience is required
  • Be a self-starter, delivering what’s asked for before it’s asked
  • Highly adaptable and able to deal with ambiguity
  • Comfortable working under pressure, time-sensitive, and rapidly evolving situations
  • Knowledge of office procedures
  • Solid experience with office management systems, ERPs, and Google Suite
  • Familiarity with online calendars and cloud systems
  • Strong communication skills (via phone, email, and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
Responsibilities
  • Coordinate the daily calendar of Head of Sales INTL
  • Plan appointments and events
  • Create agendas for weekly Sales team all hands meetings and Sales Leadership meetings
  • Make travel arrangements
  • Respond promptly to managers’ queries
  • Prioritize when all issues are “urgent”, assessing what matters and has the biggest impact on the business
  • Process expense reports and invoices
  • Assist with editing and drafting internal communications
  • All Hands and meeting deck creation and preparation
  • Act as the point of contact between executives and employees/clients
  • Supporting with organizing offsites, team social events, and group activities for the local Sales team where needed
  • Suggest more efficient ways to run the office and troubleshoot any malfunctions
  • Exhibit exceptional critical thinking skills, being able to solve problems with practical judgment
  • Navigate a global, matrix-organization whilst maintaining positive, authentic relationships
  • Be a self-starter, delivering what’s asked for before it’s asked
