Requirements
  • The candidate must work on-site five days per week at the University Park Campus in Los Angeles, California.
  • The candidate must have expertise with software and technology, including computers, phones, networks, Zoom, Workday, and video and sound equipment for department meetings and seminars.
  • The candidate must have experience editing and updating websites using WordPress or similar tools.
  • The candidate must have event planning experience for seminars, conferences, and team-building social gatherings.
  • The candidate must have advanced accounting, financial management, budgeting, and reporting experience.
  • The candidate must have public speaking and presentation skills.
  • The candidate must be able to manage regular tasks and a steady influx of new tasks while tracking multiple deadlines for events and department needs.
  • The candidate must have schedule flexibility to accommodate building requests and deliveries.
  • The candidate must be able to safely lift and sort supplies and other materials weighing up to 20 pounds.
  • The candidate must have at least three years of experience managing an office of similar size.
  • The candidate must support new employee onboarding and provide hospitality for guests.
  • The candidate must be willing to back up the administrative assistant team.
  • The candidate must be able to create and maintain connections among multiple sub-centers within the department.
  • The candidate must have a Bachelor's degree, with combined experience and education accepted as a substitute for the minimum education requirement.
  • The candidate must have at least three years of experience.
  • The candidate must have office management experience combined with budget administration experience.
Responsibilities
  • Run the day-to-day operations of a busy office serving approximately 100 faculty and staff on the University Park campus.
  • Assist with needs at the Capital Campus and for off-site employees.
  • Coordinate computer and software acquisition, off-site storage, mail and deliveries, supply inventory and purchasing, requisitions, and invoicing.
  • Use Workday financial reporting systems and Concur.
  • Arrange staff meetings and set up audio/visual equipment for meetings and seminars.
  • Arrange travel and process travel expenses.
  • Maintain keys, facilities requests, space management, Zoom lines, office management needs, and emergency planning.
  • Communicate information clearly across multiple sites.
  • Assist the Executive Director and Co-Director with center-related expense tracking, purchases, travel, and meeting arrangements.
  • Assist with monthly and annual staff meetings.
  • Oversee student workers and an administrative assistant.
