Requirements
  • A high school diploma or equivalent is required.
  • The ability to multitask and prioritize duties to support delivery of a high-quality patient experience is required.
  • The ability to work independently and as a team member is required.
  • Strong written and verbal communication skills are required.
  • Proficiency with computer software applications, including Microsoft Office and electronic medical records, is required.
  • The ability to handle sensitive and confidential information in compliance with HIPAA is required.
  • The employee must be able to sit, stand, bend, talk, hear, walk, and lift or move objects up to 25 pounds.
  • The employee must have close, distance, color, peripheral, and depth vision and the ability to adjust focus.
Responsibilities
  • Create a positive work environment, serve as a culture carrier, and support in-office clinician and staff engagement activities.
  • Provide strong customer service by responding quickly and appropriately to patient needs and managing potentially difficult or emotional situations.
  • Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction.
  • Assist psychiatric clinicians with prior authorizations, lab orders, patient letters, records requests, and required patient forms and paperwork.
  • Facilitate communication between patients, medical staff, and patients' pharmacies.
  • Answer incoming calls to the medical services line and provide support for medication-related questions, refill requests, release requests, appointment rescheduling, and other inquiries.
  • Maintain accurate patient pharmacy information in the medical record.
  • Scan hard-copy correspondence into patients' electronic health records.
  • Assist patients with telehealth access, Patient Portal issues, and other troubleshooting.
  • Handle urgent requests immediately, triage patient issues, direct them to the correct departments, and escalate issues for assistance.
  • Assist with coordinating external referrals for patient care.
  • Provide general clinician support with administrative questions and duties such as sending letters and faxes.
  • Coordinate with clinicians regarding additional patient questions.
  • Assist psychiatric clinicians with the patient termination process, including termination letters, external referrals, and AMD status as needed.
  • Behave ethically and ensure personal and others' behavior is consistent with company standards and values.
  • Establish and maintain positive working relationships internally and externally to achieve organizational goals.
  • Work cooperatively to set goals, resolve problems, and make decisions that enhance organizational effectiveness.
  • Identify process and performance improvements, assess problem situations, gather and process relevant information, generate solutions, make recommendations, and resolve problems.
  • Adapt responsibilities to the company's needs.
  • Set priorities, develop work schedules, monitor progress toward goals, and track details, data, and information.
  • Maintain accurate information in data entry and communication with patients, clients, and staff.
  • Work cooperatively to resolve problems and express disagreements without attacking or disparaging others or affecting patient care.
Desired Qualifications
  • An associate's or bachelor's degree is preferred.
  • At least 1 year of experience in healthcare operations, customer service, or a similar role or setting is preferred.
