Responsibilities
  • Support day-to-day account management under the direction of the senior team, ensuring smooth communication and efficient delivery of client work in line with standard operating procedures.
  • Collaborate with studio, editorial, and creative teams to coordinate timely project delivery through defined standard operating procedures.
  • Apply and develop knowledge of client products, therapy areas, and market context to inform project delivery.
  • Contribute to post-project debriefs by supporting the Senior Account Manager/Account Director in capturing lessons learned and identifying opportunities to improve client delivery and future project performance.
  • Support organic account growth through quality delivery of assigned accounts.
  • Build understanding of the pharmaceutical industry, medical communications sector, and compliance frameworks relevant to assigned accounts.
  • Develop and manage project timelines, update status trackers, follow internal processes, and flag risks or issues through agreed standard operating procedure channels.
  • Coordinate live, virtual, and hybrid events, including logistics, materials, registrations, and supplier liaison.
  • Coordinate printing and shipping and support development of on-site packs and pre-meeting materials as required.
  • Process copyright permission approvals and reference purchasing, order references, and file them appropriately.
  • Maintain organized project folders and consistent file-naming and sharing practices.
  • Perform online and database searches for journal and congress information to support project delivery.
  • Manage financial tracking and invoicing under guidance, including raising job numbers, budget development and tracking, invoicing, and reporting using CMAP.
  • Track time accurately and record it weekly to support project efficiency and productivity.
  • Flag financial or timeline concerns to ensure projects remain within budget and on schedule.
  • Contribute to high-quality client experiences and demonstrate professionalism in interactions.
  • Build working relationships with client contacts, authors, and key opinion leaders.
  • Prepare client meeting contact reports and status sheet updates and assist in basic project delivery discussions.
  • Communicate proactively with clients and internal teams while ensuring correspondence and documentation comply with communication guidance.
  • Create records and maintain database and approvals management systems, ensuring project records, documents, and approvals are accurately maintained.
  • Upload, track, and maintain approval records in accordance with defined approval and quality-control workflows.
  • Ensure database records meet Good Publication Practice guidelines and maintain a complete, auditable documentation trail.
  • Take responsibility for Publication Platform audits.
  • Identify inconsistencies or missing information and work with internal teams to resolve issues.
  • Complete other tasks or projects as reasonably requested by the company.
