Responsibilities
  • Maintain project documents, accounting data, and payroll data in the Enterprise Resource Planning system, including Procore, HeavyJob, Costpoint, and OnBase.
  • Maintain and file paperwork, project documents, and certified payroll.
  • Prepare and submit weekly payroll to accounting, verifying all timecards according to union MLA guidelines.
  • Monitor and distribute accounts payable email and mailed invoices to accounting.
  • Monitor and distribute invoices to Project Coordinators and Project Engineers.
  • Request and track project bonds and insurance.
  • Request and track city business licenses and other required documents.
  • Manage managers' expense reports and coordinate monthly cost coding.
  • Reconcile cost data and documentation in the Enterprise Resource Planning system.
  • Submit and maintain project Intents and Affidavits.
  • Communicate with the Project Coordinator to ensure that required subcontractor and vendor documentation is current before payment is released.
  • Assist managers with project startup and coordinate setup of vendor, subcontractor, public agency, utility, and other project-support accounts and services, including LCP Tracker, CDS, and B2GNow.
  • Assist the Manager and communicate with the Project Coordinator regarding project closeout for the client, subcontractors, accounting, and Enterprise Resource Planning system.
  • Manage and coordinate employee badging and security credentials for access to restricted projects, including military bases and government facilities, and maintain required access documentation.
  • Assist with setting up vendor accounts as needed.
  • Order and maintain main-office supplies.
  • Check incoming mail payments and complete weekly check deposits.
  • Enter received check amounts into Procore.
  • Develop and maintain working relationships with co-workers and other departments.
  • Plan, coordinate, and prioritize multiple projects simultaneously.
  • Assist executives and senior managers with issues requiring immediate action.
  • Maintain situational awareness and work safely.
  • Perform other duties as directed.
Desired Qualifications
  • An Associate degree or equivalent in Business Administration or a similar field is preferred.
  • Two to five years of experience working in a similar position or in the construction industry is preferred.
