Requirements
  • High school graduation plus a two-year post-secondary diploma and four years of related experience, or an equivalent combination of education and experience.

Responsibilities
  • Provide administrative support for the Postgraduate Education Program in the Department of Medicine.
  • Support the Internal Medicine Training Program’s Lead Medical Residents in creating Clinical Teaching Unit and Cross Coverage call schedules each month.
  • Support logistics for Academic Half Day sessions, maintain the PGY1–3 Curriculum calendar, confirm speakers and topics, arrange facilities and speaker needs, and post presentations and videos to Entrada.
  • Oversee the Educational Curriculum Committee, including scheduling meetings and managing membership in consultation with the Associate Program Director, Curriculum Development.
  • Plan, organize, and lead six annual Objective Structured Clinical Examinations and Crucial Conversations exams, including scheduling, examiner recruitment, room bookings, station preparation, coordinating standardized and volunteer patients, and distributing resident and examiner schedules.
  • Coordinate resident review meetings with the Program Director and Associate Program Directors.
  • Assist with PGY4 Journal Clubs, didactic and simulation sessions, PGY4 Orientation, and PGY4 graduation dinner arrangements.
  • Create monthly contact databases for students and residents at Vancouver General Hospital, St. Paul’s Hospital, and Royal Columbian Hospital for CTU schedule development.
  • Prepare and distribute monthly CTU call request forms and follow up to ensure complete information.
  • Assist the Lead Resident with CTU schedule formatting and circulation to residents and medical students.
  • Survey residents monthly for Cross Coverage scheduling eligibility and call requests, follow up for complete information, and verify the master rotation schedule.
  • Draft Cross Coverage schedules and work with Lead Medical Residents to finalize them before release.
  • Coordinate new hospital identification cards for incoming residents annually.
  • Assist with and attend program events, including the Annual Resident BBQ, Resident Research Day, Boot Camp, Resident Orientation, CaRMS, accreditation, and ACP Exam.
  • Work with the Global Health Associate Program Director on resident interviews, information sessions, pre-departure meetings, licensing requirements, and documentation.
  • Provide program and administrative support for the Provincial Program Manager’s annual month-long Boot Camp.
  • Assist the Vancouver Manager with the annual Winter Retreat.
  • Maintain and update the job procedures manual.
  • Manage advance room bookings for academic sessions and meetings.
  • Work independently, consult the Vancouver Program Manager or Program Coordinator on new or complex problems, and exercise tact, discretion, and confidentiality when handling resident records and personal information.
Desired Qualifications
  • Experience developing and coordinating complex schedules while balancing program requirements, individual requests, eligibility requirements, competing priorities, fairness, accuracy, and established guidelines.
  • Experience coordinating examinations, assessments, educational events, or other large-scale academic activities and managing their logistical requirements and stakeholders.
  • Experience working with large volumes of information from multiple sources, verifying information, identifying discrepancies, and maintaining accurate records and schedules.
  • Experience coordinating and communicating with physicians, residents, fellows, students, and administrative staff.
  • Experience working in a healthcare, medical education, post-secondary, or complex academic environment.
  • Intermediate proficiency in Microsoft Word, Microsoft Excel, and Microsoft Outlook, plus experience using Zoom and One45.
  • Excellent communication, interpersonal, and organizational skills; ability to prioritize, multitask, meet deadlines, maintain accuracy, and exercise tact and discretion.
  • Ability to work independently and as part of a team, take and transcribe minutes, and work a flexible schedule that includes early-morning or occasional evening meetings.
