About the Role

iCapital is seeking a proactive and customer service-driven Facilities Coordinator to join our Workplace department. As part of the Facilities team, this individual will play a key role in creating a welcoming and efficient environment that fosters positive employee experience. The ideal candidate thrives in a fast-paced setting and is passionate about creating a dynamic work environment. This position will help maintain the day-to-day operations of the office, support employee experiences initiatives and ensure all facilities-related needs are addressed in a timely manner.

Responsibilities

• Oversee all catering operations, including planning, ordering, setting up, and the breakdown of team meals, internally and externally for events.
• Collaborate, organize and order New York office breakfast and lunch through multiple vendors weekly on specified days.
• Coordinate and manage happy hours every other month to promote team bonding.
• Plan and execute cultural confetti events every other month to celebrate diversity and inclusivity.
• Manage internal communications with the Marketing team to upkeep and align workplace events, resources, and culture, via the Hub, our company’s internal website.
• Identify new and innovative ways to enhance employee experience and workplace culture.
• Collaborate with the team to explore and introduce new snacks, products, and offerings that promote a dynamic and enjoyable work environment.
• Provide back-up support for team members during lunch breaks, time off, or other absences.
• Work together with the Facilities’ team to ensure the office is clean, organized, and operates smoothly.
• Improve processes proactively as needed.

Qualifications

• Work on site in our New York City office Monday to Friday, 9:00 AM – 6:00 PM (schedule may fluctuate based on facility needs)
• Strong customer-centric and collaborative mindset with a professional demeanor and appearance
• Able to maintain composure and effectiveness under pressure
• Exceptional time management, organizational, and prioritization skills
• Excellent verbal and written communication skills, able to engage with all levels of the organization
• Enthusiastic team player who delivers high-quality work and maintains a positive environment
• Highly organized, detail-oriented, and able to see the bigger picture
• Proficiency in Microsoft Office Suite and the ability to learn new systems quickly

Benefits

The base salary range for this role is $ 65,000 to $ 75,000.  iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus. Employees also receive a comprehensive benefits package that includes an employer matched retirement plan, generously subsidized healthcare with 100% employer paid dental, vision, telemedicine, and virtual mental health counseling, parental leave, and unlimited paid time off (PTO).

We believe the best ideas and innovation happen when we are together. Employees in this role will work in the office Monday-Thursday, with the flexibility to work remotely on Friday.
