  • Bachelor's degree or equivalent
  • At least 4 years of experience in office support role
  • Excellent organizational skills: a self-starter with strong foresight, reliable, and outstanding attention to detail
  • Excellent communication and interpersonal skills
  • Tech savvy, comfortable communicating virtually and learning new office tools (especially Google Apps like Gmail, Calendar, Docs, Spreadsheets, Airtable, and Slack)
  • Strong attention to detail and ability to handle multiple tasks simultaneously
Responsibilities
  • Represent the Imaging Institute as first point of contact including greeting and assisting visitors to the Imaging Institute and answering phone calls
  • Schedule and coordinate Imaging Institute meetings, conferences, and other events
  • Help coordinate staff schedules, including vacation time and absences
  • Help maintain inventories, purchase orders, and budget tracking
  • Ensure office operations are running smoothly including maintaining cleanliness and organization
  • Oversee shipping and receiving, including sorting and distributing of packages and mail
  • Support onboarding of new hires, visitors, and other guests including office tours and setting up workspaces
  • Supporting travel planning and reimbursements
  • Providing training on administrative and safety procedures
  • Provide general administrative support as needed
  • Liase with environmental health and safety consultant
  • Foster a sense of belonging in the office and create group culture
