Requirements
  • Demonstrated ability to compose correspondence, write reports, and document procedures clearly.
  • Comfort working with materials in Spanish, Portuguese, German, French, Italian, Chinese, Korean, and other languages using online translation tools and ISBN numbers.
  • High proficiency with office equipment and software, including Microsoft Office, library-related applications, library systems, and databases.
  • Previous work experience demonstrating the ability to organize and prioritize multiple concurrent assignments, complete tasks in a busy service environment, exercise sound judgment and initiative, and maintain attention to detail.
  • Proven ability to work effectively and efficiently in a team setting and establish sound working relationships with other units and departments.
  • Four years of related work experience, including two years in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.
Responsibilities
  • Support the Divinity Library's Latourette-funded collection building and related collection services.
  • Support acquisitions and basic cataloging and bibliographic access for materials funded by the Latourette Endowment and other funds.
  • Search and verify bibliographic data with incomplete information or source material in catalogs, reference sources, files, and databases, and document decisions and sources used.
  • Track selected funds with spreadsheets and other tools, monitor expenditures, reconcile records, and generate and review statistical and acquisitions reports.
  • Elevate discrepancies to the Divinity Library Director.
  • Communicate with vendors and internal partners to resolve ordering and receiving issues and maintain clear documentation of unit procedures.
  • Assist with disaster recovery operations and perform other related duties as assigned.
  • Serve as a primary source of information on established procedures and policies related to Latourette-funded acquisitions and processing for library staff.
  • Oversee the work of student employees as assigned in support of collection workflows.
  • Ensure that continuing resources are received and placed on the shelves for patron use.
  • Consult librarians and authorized requestors to determine the scope and requirements of purchase requests and identify and resolve problems.
  • Acquire library materials recommended by librarians and authorized requestors using established procedures.
  • Prepare and maintain order documentation and follow up with vendors on claims, backorders, cancellations, and replacements.
  • Create, review, and modify documentation of unit procedures, and compose original correspondence, reports, procedures, vendor communications, and internal status updates.
  • Receive and inspect newly acquired materials and coordinate routing for processing.
  • Maintain accurate status tracking and documentation.
  • Route materials requiring complex or original cataloging to Library Technical Services.
  • Provide basic cataloging and bibliographic access support during receiving and processing, including searching for copy and updating or creating minimal records as appropriate.
  • Perform materials management functions such as unpacking, charging, routing, sorting, and distribution.
  • Answer questions on the use and restrictions of materials.
  • Compose correspondence answering reference questions and perform public services and technical services functions.
  • Correct or recommend corrections in data files.
  • Instruct, provide work direction, or revise the work of other staff and assist in coordinating and distributing work.
  • Determine and assign library privileges to visitors.
  • Complete and process interlibrary loan requests.
  • Monitor expenditures, reconcile statements, and maintain records.
  • Arrange, describe, and prepare finding aids for collections.
  • Mount, label, catalog, and slide photographs and assist in preparing exhibits.
  • Oversee a library during evenings and weekends.
  • Perform clerical functions incidental to library activities.
Desired Qualifications
  • Previous library experience, preferably in an academic setting.
  • Knowledge of Alma or a similar library services platform.
  • Working knowledge of another language, preferably Spanish, German, or Chinese.
